About this role
WHO THIS ROLE IS FOR
This is a step-up opportunity. The ideal candidate is a proven high performer inside a successful personal injury intake operation, who already understands the entire intake machine and is ready to build and lead a department of their own. Candidates may currently hold titles such as:
- Assistant Director or Associate Director of Intake
- Intake Manager or Intake Supervisor
- Intake Team Lead or Shift Lead
- Senior Intake Specialist or Lead Closer
A prior Director title is not required. We are most interested in candidates who have learned what works inside a winning intake team and want the opportunity to build their own.
REQUIRED QUALIFICATIONS
- Plaintiff personal injury intake experience. At least three to five years in intake at a high-performing plaintiff personal injury or contingency-fee law firm, with progressively increasing responsibility.
- Proven conversion results. A documented track record of converting leads into signed retainers. Candidates should be prepared to share specific figures from prior roles, such as lead volume, contact rate, qualified-lead conversion rate and speed-to-lead.
- Direct closing experience. Has personally handled intake calls and signed prospective clients — including callers who were comparing several firms — not only supervised others who did.
- Inside knowledge of how intake works. Has helped build, run or improve an intake operation — for example, by contributing to scripts, workflows, follow-up cadences, call-review standards or KPI reporting — and can explain what made it successful and what did not work.
- PI case qualification knowledge. Working knowledge of how personal injury matters are screened: liability, injuries and treatment, insurance coverage (including policy limits and UM/UIM), conflict checks, statute-of-limitations awareness and common case types such as auto, trucking, premises and dog-bite claims.
- Leadership on the team. Has trained, mentored or led other intake specialists, formally or informally — such as onboarding new hires, running call reviews, leading a shift or serving as the go-to person for difficult calls.
- Systems proficiency. Hands-on experience with legal case-management or intake CRM platforms (CasePeer or comparable systems), e-signature tools, and call and text platforms.
- Data fluency. Ability to build and interpret funnel reports, identify where leads are being lost, and recommend changes based on the numbers.
- Ethical boundaries. Clear understanding that intake staff may not give legal advice, and familiarity with the professional-responsibility limits that apply to law-firm intake and client communication.
- Communication. Calm, empathetic and persuasive with people who are injured, frightened, grieving or upset — while keeping the call efficient and under control.

- Experience formally supervising an intake team or serving as second-in-command to a Director of Intake.

- Prior sales or business-development experience with measurable targets.

NO SUBSTITUTE FOR DIRECT PI INTAKE EXPERIENCE
Positions within an intake department can often be filled by candidates with transferable experience, because the Director and the team are there to train them. This position is different. There is no existing intake department and no one above this role to provide that training — the Director will be the person who trains everyone else.
For that reason, equivalent or transferable experience from other fields will not be considered a substitute for the requirements above. Candidates must already understand personal injury intake and must have personally converted prospective clients into retained clients.
