Job Description

SUMMARY :

Reporting to the Assistant Dean of Residence Life, the Director of Housing Operations and Logistics leads the strategic vision, planning and execution of residential facility operations and logistics, including preventative maintenance, capital improvements, occupancy management (inventory, resident and summer conference lease contracts, room assignments, door access, billing and associated processes) of 5,500 residence hall and apartment beds on the Montclair and Bloomfield College campuses. The Director oversees processes associated with room selection, room assignments, room changes and lease agreements, manages residential summer conference housing on both campuses in coordination with campus and external stakeholders and supervises a team of professional and administrative staff. The Director of Housing Operations and Logistics develops and implements policies, procedures and systems designed to support the efficient and safe operations of residence halls and apartments and the safety and wellbeing of the residential student population, and serves as a senior manager in emergency, crisis, pandemic and disaster situations. This position manages Residence Life capital project requests and planning, facilitating cross divisional capital building project meetings and leading, coordinating, and managing Residence Life tasks responsibilities with these projects.

PRINCIPAL DUTIES AND RESPONSIBILITIES :

  • Lead the strategic planning, development, implementation, evaluation and assessment of residence hall operational processes, ongoing facility maintenance and repair schedule, and capital improvement plans, to foster the safety and wellbeing of the residential student population. Administer annual processes for resident room selection, lease contracts, room assignments and changes, wait list, door access, break housing and summer conference housing.

  • Establish, articulate and monitor yearly unit goals and objectives to manage and maintain optimal occupancy and facility conditions within residence halls and apartments, ensuring alignment with institutional and divisional strategic directions, and continuous improvement.

  • Develop, implement and regularly update Residence Life policies, standard operating procedures for the entire department, and standards for administration of new and returning student housing contracts in compliance with applicable laws (FERPA, Clery Act, ADA, Title IV, Title IX). Interpret laws, regulations and policies relating to support for students, and apply interpretation to accommodations and services. Review and update the residential lease contract annually in partnership with General Counsel.

  • Maintain housing related statistics and data visualization dashboards including inventory, weekly occupancy and vacancy reports, and monthly summaries. Perform data analysis, occupancy and revenue generation forecasting, and reconciliations to support continuous improvement, accuracy in financial and capital planning, and contract management.

  • Directly supervise and/or oversee recruitment, selection, development/training, evaluation and reappointment of professional and administrative staff for the Operations team. Ensure compliance with performance expectations, and provide meaningful professional development and coaching/mentorship opportunities.

  • Oversee technology management for the department. Serve as the department’s software applications and website administrator and maintain proficiency in use of the housing assignment and contract system, and other cloud-based applications that support residential facility operations.

  • Serve as an on-call administrator for residence life emergencies 24/7. Coordinate with emergency personnel and campus stakeholders as needed.

  • Manage and monitor budgets, expenses, procurement and financial transactions for Residence Life facility operations, repairs, maintenance, summer conference housing.

  • Foster and maintain collaborative working relationships with stakeholder units throughout the institution. Serve as liaison between Residence Life and Disability Resource Center to assure that special needs accommodations, living learning accommodations and emotional support animal requests are appropriately and adequately addressed. Work with Athletics to coordinate all overnight stay accommodations for recruits residing on campus.

  • Manage resident communications schedule, content and distribution strategies, ensuring accuracy and thoroughness of content and in coordination with Dining Services, Student Communications, New Student Orientation and other campus units as appropriate.

  • Coordinate and participate in management of department opening, closing and transition related activities. Maintain and update move in guide for the Residence Life team.

  • Coordinate all capital building and housing expansion projects in partnership with cross-divisional stakeholders, ensuring alignment with organizational goals and community needs.

  • Provide regular updates and recommendations to executive leadership regarding project progress, risks, and opportunities.

  • Represent Residence Life at campus events and on appointed college-wide committees and at local, state and national meetings, events and appointed committees.

  • Perform other duties as assigned.

QUALIFICATIONS :

REQUIRED :

  • Master's Degree in higher education administration, student personnel services, or a related field.

  • Minimum of 8 years of full-time experience in college student housing with a record of progressive advancement in leadership responsibilities and supervision of professional staff.

  • Excellent time management skills.

  • Proficiency in the use of database computer technologies, e.g., RMS, and related report writing.

  • Strong oral and written communication skills.

  • Ability to develop and maintain effective relationships with students and stakeholders on a large, culturally diverse campus.

  • Ability to work evenings, weekends and occasional holidays.

PREFERRED :

  • Live-in experience.

  • Knowledge of facilities management or capital project planning and implementation within a campus residential setting.

Salary Range

$90,000.00-$105,000.00 Annually
