  • Ensure revenue and expenses are recorded in the correct period and accurately coded by natural account, location, restriction, grant, program, and other required dimensions.
  • Review financial activity for unusual balances, duplicate transactions, coding errors, unsupported entries, and other exceptions; resolve issues promptly.
  • Maintain current close calendars, checklists, procedures, and recurring-entry schedules.
  • Prepare or review monthly reconciliations for all material balance-sheet accounts, including cash, receivables, grants and pledges, prepaids, fixed assets, liabilities, deferred revenue, restricted funds, and intercompany balances.

  • Review grant‑related coding, allocations, allowability, match requirements, indirect costs, restrictions, and supporting documentation.
  • Provide monthly grant budget‑to‑actual results and financial forecasts that identify spending pace, remaining funds, projected year‑end position, and required corrective action.
  • Support grant modifications, spend‑down planning, reimbursement preparation, closeout, monitoring, and audit responses with accurate financial information.
  • Ensure restricted contributions, releases from restriction, grant revenue, receivables, and deferred revenue are accounted for consistently and supported.
  • Review accounts‑payable coding, payment batches, accruals, credits, vendor activity, and month‑end cutoff prepared by the Payroll & Finance Operations Specialist.
  • Review payroll reports, allocations, liabilities, and related entries; ensure payroll activity is accurately reflected in the general ledger.
  • Maintain segregation of duties and ensure no employee prepares, approves, and reconciles the same transaction without an appropriate compensating control.
  • Strengthen policies and procedures for journal entries, reconciliations, purchasing, payments, payroll, revenue, cash, and financial‑system access.
  • Monitor compliance with documentation and approval standards and escalated material exceptions to the Vice President, Finance promptly.
  • Supervise, coach, and review the work of the Payroll & Finance Operations Specialist and other assigned finance staff.
  • Set clear deadlines, priorities, and quality standards; provide timely feedback and document recurring procedures and expectations.
  • Build cross‑training and coverage plans for essential finance functions.
  • Partner with club, program, development, grants, and administrative leaders to improve coding, forecasting, documentation, and financial accountability.
  • Translate accounting information into practical guidance and help budget owners understand variances, forecasts, and corrective actions.
  • Escalate unresolved financial, compliance, capacity, or performance concerns to the Vice President, Finance promptly.
  • Prepare lead schedules, reconciliations, workpapers, and supporting documentation for annual audits, tax filings, workers' compensation audits, grant monitoring, and other reviews.
  • Coordinate assigned audit requests and ensure responses are complete, accurate, organized, and delivered by internal deadlines.
  • Support the preparation of the Form 990, financial‑statement disclosures, consolidating schedules, and other required reporting.
