Job summary

Texas State Historical Association in Austin, TX is seeking a Director of Accounting to lead nonprofit financial operations, GAAP compliance, and budgeting. The role requires involvement with grant accounting, payroll, year-end close, and audits.

Hybrid schedule with some travel; you will partner with leadership to ensure accurate reporting and sound financial management for the association and its programs.

Qualifications

Responsibilities

  • Prepare annual budget and project budgets for grants.
  • Monitor and present monthly financial statements to leadership and finance committee.
  • Record grants, endowment, and related transactions; manage asset schedules.
  • Process payroll and benefits; post payroll entries.
  • Prepare 1099s and year-end tax returns; assist with audits.
  • Maintain permanent records and banking relationships; support 5500 filings.
  • Oversee month-end close, reconcile accounts, and prepare budget-to-actual analyses.

The Texas State Historical Association (TSHA), founded in 1897 as a private nonprofit educational organization, is widely recognized as one of the nation’s most dynamic regional history organizations. Supported by more than a century of scholarship and educational programs, TSHA’s mission is to advance appreciation, understanding, and teaching of Texas history through research, writing, and publication. Its flagship resources include the online Handbook of Texas, offering more than 28,000 free, searchable entries, and the award-winning Southwestern Historical Quarterly, in continuous publication since 1897. TSHA Press publishes a wide range of acclaimed books on Texas history, while programs such as educator workshops, the Webb Society, Junior Historians, and Texas History Day engage learners of all ages. Professionals can deepen their involvement with Texas history through diverse membership opportunities and participation in the Annual Meeting each March.

The Director of Accounting is responsible for performing a variety of general accounting duties governed by GAAP for nonprofit entities.This position records day-to-day financial activity, month-end entries, budgets, and collaborates with our development staff on grant preparation and reports. with our development staff on grant preparation and reports.

Duties include:

Preparing the Association’s annual budget and presenting project budgets for grant purposes. Monitoring and presenting the monthly financial statements to the Executive Director and the finance committee.

Responsible for accurate entry and posting of the following:

  • 1.Post grants to QB.
  • 2.Manage grant restrictions and the schedule of net assets.
  • 3.Import membership payments from Wild Apricot into QB and post deposits to cash.
  • 4.Import book, map, merchandise and other sales from Legacy of Texas into QB.Match with deposits from Stripe.
  • 5.Maintain with the office manager a deposit log.
  • 6.Record Endowment transactions.Maintain endowment schedule which shows balances by fund.
  • 7.Reconcile bank accounts, including Checking, Money Markets, and Endowment;
  • 8.Produce monthly financial statements, including a budget to actual comparison.
  • 9.Compute and file a monthly sales tax return.
  • 10.Process semimonthly payroll and 401k and HSA payments.Record payroll in QBO.
  • 11.AP entry and payments.This is mostly handled through bill.com
  • 12.Allocate prepaid expenses.
  • 13.Maintain fixed asset schedule.
  • 14.Review all credit card payments and receipts in bill.com.Approve transactions, request missing receipts from employees and reconcile each month.
  • 15.Maintain grant balances for temporary restricted assets.

Responsible for year-end activity, including:

  • 1.Preparation of 1099 NEC/1099 Misc (mostly done via QBO)
  • 2.Fiscal year-end inventory physical count and reconciliation
  • 3.Royalty calculations.
  • 4.In-kind calculations for salaries and facilities.
  • 5.Net asset rollover.

Other responsibilities:

  • 1.Maintain the Associations permanent records.
  • 2.Maintain the banking relationship.
  • 3.Annual audit prep and working with outside CPA firm to produce audit and 990 tax return.
  • 4.Work with 401(k) administrator on preparation and approval of annual 5500 tax return.
Required Qualifications
  • A candidate with active CPA license is preferred.Bachelor’s degree in Accounting or Finance required.
  • A minimum of three (3) years’ experience with nonprofit accounting is required;
  • Experience with working with systems like QuickBooks Online, membership systems, and retail systems is highly preferred
  • Excellent written, interpersonal, and communication skills and professional demeanor,
  • An ability to think strategically, anticipate future consequences and trends, and incorporate them into the Association’s operational expectations.

  • Salary will be commensurate with education and professional experience.

Work Hours

This is a full-time, exempt position; hours are between 8:00 AM-5:00 PM, Monday through Friday with some weekend duty and travel.This is a hybrid position.Some office time IS required each week.
