Job summary

The Newberry Library in Chicago is seeking a Development Operations Manager to oversee the CRM system, Raiser's Edge, record patron and gift information, and use data to strengthen giving.   • Proven ability to manage multiple priorities and work well under pressure to meet deadlines without sacrificing accuracy required.
  • Ability to work collaboratively and cooperatively with colleagues and donors required.

SUMMARY:

Reporting to the Director of Individual Giving, the Development Operations Manager is responsible for oversight of the Newberry’s customer relationship management (CRM) database, Raiser’s Edge, utilizing the system to effectively record patron and gift information and leveraging patron information to encourage increased giving to the Newberry. The Development Operations Manager will assist departments throughout the library with the database and its related online tools, fostering increased use of the Development department’s database system and training staff as appropriate. The Development Operations Manager will also serve as the primary data analyst and prospect researcher for the Development Office.

RESPONSIBILITIES:
Database Management and Gift Processing:
  • Implement, oversee, and revise, as necessary, all data management policies and procedures using Raiser’s Edge;
  • Develop and maintain data governance standards for record creation, data integrity, and the regular identification, consolidation, and removal of duplicate records;
  • Process all incoming gifts through multiple channels promptly and accurately;
  • Oversee the gift acknowledgment process, including generation of acknowledgment letters and membership materials, completion of matching gift forms, and related tasks;
  • Serve as liaison between Development Office and Finance Office; coordinate reporting needs and reconcile gifts, pledges, and payments; identify best practices for receivable gift data entry;
  • Collaborate with Marketing department and other staff to maintain email and mailing lists and produce distribution lists for digital and physical communications;
  • Serve as primary data analyst and Blackbaud power user for the Development Office, including generating timely fundraising and related financial reports and dashboards for Development and executive leadership of the library;
Prospect Research:
  • Create, refine, and deploy queries, exports, and lists of current, past, and potential donors on a regular basis and as requested for department needs;
  • Utilize data analytics to identify characteristics of current donors and mine Raiser’s Edge to identify donors ideal for upgrades;
  • Research individual, foundation, and corporate prospects for both unrestricted and restricted giving, assessing giving capacity, potential areas of interest, and likelihood of giving;
General Operations:
  • Serve as a user expert in support of staff from other departments who are using Blackbaud web tools, providing training and ongoing support, and serve as primary liaison between the Newberry and Blackbaud;
  • Maintain the highest standards of professional and ethical conduct;
  • Understand and adhere to established ethical standards related to the procurement, confidentiality, and the use and safeguarding of prospect and donor information;
  • Represent the Development Office at library events;
  • Pursue other projects and activities needed for the achievement of institutional and departmental goals;
  • Remain up-to-date on evolving industry best practices through participation in webinars and other trainings
QUALIFICATIONS:

SCHEDULE:

Full-time, exempt position, working 35 hours per week, with normal hours generally from 9:00 AM-5:00pm, Monday through Friday. Incumbent may occasionally work additional hours as needed. Evening and weekend hours may occasionally be needed in order to support departmental goals and attend Library events. Remote work may be available in accordance with Library policy; however, the position requires regular onsite presence to support the needs of the role and the department.
