Job summary

Central Coast VNA & Hospice is seeking a Development & Executive Operations Coordinator in Monterey, CA. This full-time role supports fundraising operations, donor relations, and executive administration within our nonprofit home health and hospice organization.

The position splits time between donor relations and development operations, working closely with the CEO and external partners to manage communications, records, grants, events, and special projects with discretion and professionalism.

Qualifications

  • Bachelor's degree or equivalent combination of education and experience.
  • 1–4 years in development, nonprofit admin, donor relations, or related fields preferred.
  • Experience using a CRM, donor database, or similar information system.
  • Strong proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams).
  • Excellent written and verbal communication with attention to tone, accuracy, and professionalism.

Responsibilities

  • Manage donor and funder communications, acknowledgments, correspondence, and meeting materials.
  • Maintain up-to-date CRM and donor records; support donor cultivation and fundraising events.
  • Track grant opportunities, deadlines, submissions, reports, and renewals.
  • Coordinate calendars, meetings, materials, action items, and follow-up for CEO and stakeholders.
  • Support gift-processing workflows including acknowledgment, reporting, and reconciliation.
  • Assist with fundraising campaigns, special events, and development initiatives.
  • Conduct research to support donor development activities.
  • Assist with special projects supporting development and executive operations.

Salary Range: $30.00 To $36.00 Hourly

VNA is looking for a Development & Executive Operations Coordinator.

Job Summary: The Development & Executive Operations Coordinator is a highly organized, proactive professional who provides essential support for fundraising operations, donor and funder relations, and executive administration within a mission-driven home health and hospice organization. The role is approximately 40% donor and funder relations and 60% development operations and administrative support. Working closely with the CEO and external development partners, the Coordinator helps ensure that donor communications, grant activities, records, schedules, and follow-up are managed accurately, efficiently, and with exceptional professionalism and discretion. The ideal candidate is detail-oriented, resourceful, and able to manage multiple priorities while building positive relationships with donors, funders, executives, board members, staff, and community partners.

Status:Full-Time

Responsibilities:

  • Manage donor and funder communications, acknowledgments, correspondence, meeting materials
  • Maintain accurate and up-to-date CRM and donor records and support donor cultivation, stewardship activities, fundraising campaigns, events, and prospect research
  • Track grant opportunities, application deadlines, submissions, reports, renewals, and other grant-related requirements
  • Coordinate calendars, meetings, schedules, materials, action items, and follow-up activities for the CEO, development partners, donors, board members, and other stakeholders
  • Support gift-processing workflows, including gift acknowledgment, reporting, reconciliation, and recordkeeping in coordination with appropriate staff
  • Assist with fundraising campaigns, special events, public relations activities, community engagement, and other development initiatives
  • Conduct research to support donor, funder, and prospect development activities
  • Assist with special projects and other duties that support the organization’s development and executive operations

Education/Experience/Skills/Qualifications:

  • Bachelor's degree or an equivalent combination of education and relevant experience
  • One to four years of experience in development, nonprofit administration, donor relations, executive support, healthcare administration, communications, or a related field preferred
  • Experience using a CRM, donor database, or similar information management system
  • Strong proficiency with Microsoft 365, particularly Outlook, Word, Excel, PowerPoint, and Teams
  • Excellent written and verbal communication skills, with strong attention to tone, accuracy, professionalism, and audience
  • Demonstrated organizational and time-management skills, with the ability to prioritize and manage multiple projects, responsibilities, and deadlines
  • Demonstrated ability to exercise sound judgment and maintain confidentiality when handling sensitive donor, executive, patient-related, and organizational information
  • Strong interpersonal and relationship-building skills, with the ability to work effectively with the CEO, consultants, staff, board members, donors, funders, and community partners
  • Fundraising, grant administration, home health, hospice, palliative care, or nonprofit healthcare experience is helpful but not required

The compensation range for this role is determined by factors such as location and required skills. The salary range provided reflects the lowest to highest amount we reasonably anticipate paying for this position at the time of posting. Compensation is influenced by labor market conditions and various factors, including but not limited to: prevailing minimum wage in the area, relevant education, experience, skills, geographic location, performance, travel requirements, sales or revenue targets, and business needs. It is not typical for a new hire to be offered the highest end of the salary range. Pay decisions are based on the unique circumstances of each candidate and position.
