Job description

Johns Hopkins, founded in 1876, is America's first researchuniversity and home to nine world-class academic divisions workingtogether as one university.

The Development Coordinator will provide general support toDevelopment and Alumni Relations (DAR) operations and work underthe direction of DAR staff to ensure programs, projects, andinitiatives are appropriately supported.

The Development Coordinator plays a key role in supporting theOffice of Innovation Initiatives and Corporate Relations (IICR),partnering closely with colleagues across IICR, Johns HopkinsTechnology Ventures (JHTV), and Development and Alumni Relations(DAR) to advance fundraising, alumni engagement, and corporatepartnership initiatives. Reporting to the Director of InnovationInitiatives and Corporate Relations, the position manages a broadportfolio of administrative, operational, and developmentfunctions, including office operations, CRM and giftadministration, financial tracking, travel and calendar management,reporting, and event support.

Specific Duties & Responsibilities:
  • Support processing of team information and data management.Enter, retrieve, and maintain data stored in development database(CRM). This may include:
    • Processing gifts, pledges, and other donor-relatedtransactions.
    • Coordinating gift tracking and database maintenance.
    • Entering visit notes, solicitation activity, and linking gifts to the appropriate proposal.
    • Entering and updating workplan data.
    • Compiling and producing reports.
  • Provide administrative support for the DAR team. This mayinclude:
    • Handle sensitive and confidential information with anappropriate level of discretion.
    • Proactively maintaining a conflict-free electronic calendar forthe principal, which may include arranging intricate meetings withleaders and donors.
    • Coordinating staff portfolios and portfolio assignmenttransfers.
    • Organizing meetings and preparing materials.
    • Preparing and mailing gift acknowledgement letters.
    • Drafting correspondence.
    • Producing a variety of reports and presentations usinginformation from multiple sources.
    • Creating tables, graphs, and PowerPoint presentations.
    • Preparing event briefings for leaders.
    • Responding to internal and external constituent inquiries.
    • Assisting with financial transactions, e.g., reconciling travelexpenses, paying invoices.
    • Maintaining and monitoring operating budgets.
    • Ensuring the successful execution of events by assisting withplanning and day-of management.
    • Assisting with management of project deadlines anddeliverables, following up on outstanding tasks.
    • Monitoring and contributing to social mediacommunications.
    • Maintaining office filing systems and office equipmentinventories.
  • Other duties as assigned.

In addition to the duties described above, theDevelopment Coordinator will:

  • Provide comprehensive administrative and operational support tothe Director and team, including complex calendar management,scheduling internal and external meetings across multiple timezones, coordinating hybrid meetings, preparing meeting materials,and arranging domestic and international travel.
  • Manage office financial and administrative operations,including processing invoices, accounts payable, purchasingtransactions, expense reports, travel reimbursements, andreconciliation of office Pcard expenses.
  • Maintain and enhance office systems and resources, includingOneDrive, shared files, templates, presentations, and other toolsthat support efficient team operations and collaboration.
  • Support fundraising and development operations through expertuse of DAR's CRM (JHAS), maintaining constituent and gift records,assisting in the processing of gifts and pledges, assisting in thetracking of fundraising activity, monitoring the gift agreementprocess, and generating reports for the team and keystakeholders.
  • Assist in the coordination of alumni and ecosystem engagementand events, including managing invitation lists, mailings, RSVPs,event logistics, and staffing events as needed to support donor,prospect, alumni and stakeholder engagement.
Minimum Qualifications
  • High school diploma or graduation equivalent.
  • Three years related experience.
  • Additional education may substitute for required experience andadditional related experience may substitute for required educationpermitted by the JHU equivalency formula beyond a high schooldiploma/graduation equivalent.
Preferred Qualifications
  • Bachelor's degree.
  • Experience using a CRM, especially SalesForce.
