Organizational Summary:

The USF Psychology Department is home to approximately 3,000 undergraduate and 100 graduate students. Our department also includes 6 administrative staff, 6 academic advisors, and over 50 core, affiliated, and emeritus faculty members. We are one of the largest departments in the College of Arts and Sciences.

Position Summary:

The Department Operations Manager oversees the administrative and academic services within the school/department, providing support to the Chair, faculty, staff, and students. This role functions as a liaison to ensure effective management of budget, office operations, purchasing, facilities, and overall operational needs. It also involves supervising office staff and Federal Work-Study (FWS) students within the department.

Minimum Qualifications:

This position requires a High School diploma or equivalent with four years of customer service related experience, including at least one year of supervisory experience.

This position may be subject to a Level 1 or Level 2 criminal background check.

Job Duties:
Academic Administration:
  • Support development and maintenance of academic programs.
  • Develop semester course schedules for various learning modalities.
  • Maintain rosters and schedule graduate assistants and other personnel.
  • Assist with course information input into BANNER/OASIS.
  • Administer Foundation Scholarships, including application processing and fund distribution.
Faculty Affairs:
  • Serve as department liaison for faculty procedures.
  • Coordinate faculty recruitment, credentialing, and onboarding.
  • Manage faculty duties and activity reporting.
  • Support faculty awards, evaluations, and workload procedures.
Department Operations:
  • Oversee daily department operations and office coverage.
  • Act as primary contact for faculty, staff, and students.
  • Manage space utilization and assets.
  • Coordinate with Dean's Office and other departments on issues.
  • Handle department communication setup and updates.
  • Supervise department staff and FWS students, including training and performance evaluation.
Embedded Service:
  • Act as main contact for communication with HR and BFSS units.
  • Lead/support embedded service operations for faculty.
Other Departmental Tasks:
  • Manage IT requests, shared folders, and department events.
  • Maintain faculty CVs, building supervision, guest account approvals, international visitors, and departmental groups.
  • Handle payroll and other administrative duties.
