Job Summary
We are seeking a dependable, organized, and compassionate Dental Patient & Treatment Coordinator to join our pediatric dental team. This position supports patients and families by coordinating dentist-recommended treatment, explaining scheduling and financial information, and helping create a welcoming experience throughout their care.
The coordinator will receive structured cross-training across different areas of the practice, including patient check-in and check-out, scheduling, insurance coordination, treatment presentation, records, and daily office operations. As training progresses, the coordinator will assist with these responsibilities based on practice needs.
The ideal candidate communicates clearly, takes ownership of assigned tasks, follows through consistently, welcomes feedback, and enjoys learning how the different parts of a dental practice work together. Previous dental office or treatment coordination experience is strongly preferred.

- Refer clinical questions and requests for treatment recommendations to the dentist or appropriate clinical team member.
- Explain estimated patient costs, insurance benefit information, payment options, and available financing according to practice procedures.
- Clearly communicate that insurance estimates are not guarantees of payment or coverage.
- Coordinate treatment appointments and follow-up care with families and the clinical team.
- Follow up on unscheduled treatment, pending appointments, and outstanding information needed to move care forward.
- Maintain accurate patient records and document treatment discussions, financial arrangements, and follow-up efforts.
- Learn and assist with patient check-in and check-out, appointment confirmations, scheduling, and routine patient communication.
- Cross-train in insurance eligibility, benefits, preauthorization processes, and related administrative workflows.
- Develop an understanding of clinical workflows and assist with coordination within assigned duties, training, and qualifications.
- Communicate timely updates and provide complete handoffs between departments.
- Identify missing information or workflow concerns, take appropriate action within the role, and involve a supervisor when needed.
- Complete assigned training, apply feedback, and demonstrate increasing accuracy and independence.
- Protect patient privacy and follow practice policies for handling confidential information.
- Contribute to a respectful, supportive, and organized workplace.
Qualifications
- Previous experience in a dental office, treatment coordination, or a patient-facing healthcare role is strongly preferred.
- Familiarity with dental terminology, treatment plans, insurance benefits, and patient financial discussions is preferred.
- Strong communication and customer service skills, with the ability to explain information clearly and respectfully.
- Excellent organization, attention to detail, and consistent follow-through.
- Ability to manage competing priorities while maintaining accuracy and professionalism.
- Willingness to cross-train and assist across different departments as practice needs require.

- Commitment to patient confidentiality and a positive experience for children and their families.
