Summary

GENERAL SUMMARY OF DUTIES: Responsible for performing billing functions for the dental department and serving as a liaison between the patient, finance department, and dental department.

SUPERVISION RECEIVED: Reports to Dental Care Manager.

Duties

ESSENTIAL FUNCTIONS:

  • Communicates effectively and clearly; works effectively with co-workers as a team member and performs duties as assigned by Dental Care Manager and Dental Director.
  • Verifies necessary information and records in the medical record and dental record.
  • Answers dental telephone calls and provides information as needed. Deals with patients? needs expeditiously.
  • Maintains a full dental schedule by identifying vacancies and cancellations and working to fill vacant spots throughout the day.
  • Accurately schedules/reschedules patients? appointments as needed.
  • Continually monitors and rearranges schedule as needed.
  • Monitors continuing care lists and encourages patients to schedule recall.
  • Monitors and maintains unscheduled and ASAP lists.
  • Records and tracks no-shows and late cancellations.
  • Monitors confirmation program and reschedules/rearranges appointments as needed.
  • Confirms date, time, provider and type of appointment with patients who opt out of automated system.
  • Updates phone numbers and email addresses on patient accounts.
  • Reviews any changes to demographics or insurance. Communicates insurance changes to Dental Services Coordinator and/or Dental Billing Coordinator.
  • Reviews charts for necessary updates to paperwork such as Medical Releases, Medical Histories, HIPAA forms, patient demographic info, etc.
  • Registers new patients and schedules appointments after registration is completed.
  • Completes record releases and obtains previous records.
  • Checks-in patients upon arrival.
  • Updates demographics.
  • Updates forms.
  • Collect payments for scheduled appointments including office visit fees and estimated out-of-pocket expenses.
  • Alerts patients to outstanding balances as directed by RCM/billing team. Collects small balances or payment arrangement fees when possible.

i. Connects patients to RCM/billing team to discuss large balances or address any questions or concerns.

  • Manages and tracks referrals in and out of the dental clinic.
  • Manages and tracks medical consultations.
  • Responds to inquires from the contact us page.
  • Records and tracks dismissals and transfers.
  • Monitors and maintains inventory of dental office supplies.
  • Complies with federal HIPAA regulations and practice policies for the privacy and security of patient information; explain the law and our privacy policy to patients as needed; maintain appropriate documentation of access to medical records.
  • Attends meetings as required.
  • Performs other duties as assigned.

Requirements

EDUCATION: High school diploma or GED.

EXPERIENCE: Minimum of one year experience in customer service setting, preferably six months experience in dental office setting and experience with office equipment. Knowledge of dental terminology, procedures and diagnoses. Knowledge of computer and relevant software applications as well as working knowledge of dental insurance. Experience with Dentrix Enterprise preferred.

KNOWLEDGE and ABILITIES:

  • Plan and organize.
  • Operate a variety of office equipment.
  • Evaluate the effectiveness of existing methods and procedures; develop and analyze possible revisions.
  • Set priorities among multiple requests.
  • Interact with patients, clinical and administrative staff, and public effectively.
  • Communicate clearly and effectively in person, in writing, or by phone.
  • Comply with established policies and procedures.
  • Plan and perform diversified duties requiring knowledge of patient relations and health information management fields.
  • Demonstrate computer literacy with proficiency in Microsoft Office applications.
  • Interact effectively with people of varied educational, socioeconomic and ethnic backgrounds, skill levels and value systems; work with frequent interruptions; be a team player.

PHYSICAL/MENTAL DEMANDS:

Work may require hand dexterity for office machine operation, stooping and bending to files and supplies, mobility to complete errands or deliveries, or sitting for extended periods of time. Occasionally lifts and carries items weighing up to 50 pounds. Requires corrected vision and hearing to normal range. Requires manual and finger dexterity; for things such as typing, using calculator, and eye-hand coordination.

ENVIRONMENTAL/WORKING CONDITIONS:

Work is performed in an office environment. Involves frequent telephone and in-person contact with patients. Work may be stressful at times. Interaction with others is constant and interruptive. Contact involves dealing with sick people.
