Responsibilities

  • Greet patients upon arrival and create a warm, welcoming environment.
  • Manage patient appointments including scheduling, rescheduling, and confirmations.
  • Maintain accurate patient records in the electronic health records system.
  • Process patient paperwork including registration forms and payment procedures.
  • Facilitate clear communication between patients, family, and medical staff.
  • Handle calls and emails, providing responsive communication and redirecting queries as necessary.
  • Ensure confidentiality and HIPAA compliance.
  • Assist in managing office inventory and daily operations.
  • Participate in regular team meetings to discuss improvements in patient care.
  • Process billing and insurance details and explain charges to patients.

Please note, this is an onsite role and not available for remote work.The Dental Patient Care Representative will be responsible for managing various administrative tasks including scheduling, handling patient records, and ensuring a seamless flow of daily operations. This role demands a candidate who is not only skilled in administrative duties but also excels in interpersonal communication, facilitating a welcoming and efficient environment for both patients and staff.

Duties and Responsibilities
  • Greet patients upon arrival, ensuring a warm and welcoming environment.
  • Manage patient appointments, including scheduling, rescheduling, and confirming upcoming visits.
  • Maintain accurate and up-to-date patient records within our electronic health records system.
  • Process patient administrative paperwork including registration forms and payment procedures.
  • Facilitate effective communication between patients, family members, and medical staff to ensure clarity and address any concerns.
  • Handle incoming calls and emails, providing responsive communication and redirecting queries as necessary.
  • Ensure confidentiality and security of patient information in compliance with HIPAA guidelines.
  • Assist in managing office inventory and supplies required for daily operations.
  • Participate in regular team meetings to discuss improvements in patient care or office protocols.
  • Process billing and insurance-related tasks, including verification of insurance details and explaining billing charges to patients.
  • Provide support in emergencies by prioritizing tasks and maintaining calm and effective communication.
  • Maintain a clean and organized reception area that reflects the professionalism of the clinic.
Requirements
  • Proven experience as a Dental Patient Care Representative, Front Office Representative, Front Desk Coordinator, or similar role in a healthcare setting.
  • Strong interpersonal and communication skills with a proven ability to manage sensitive patient information.
  • Excellent organizational and multitasking abilities; capable of working under pressure in a fast-paced environment.
  • Solid understanding of health information structures and medical billing processes.
  • Competence in Microsoft Office applications and patient management software.
  • Knowledge of dental terminology and understanding of dental procedures is highly desirable.
  • Ability to engage with patients in a professional and friendly manner, ensuring a positive clinic experience.
  • Keen attention to detail with a commitment to achieving high standards of patient care.
  • Familiarity with the HIPAA compliance requirements related to patient privacy and data security.
  • Flexibility to adapt to evolving healthcare practices and technology advancements.
  • Strong problem-solving skills and the ability to coordinate with various internal departments to ensure seamless patient care.
  • Proficient in the use of dental software (e.g., Dentrix, Eaglesoft, DSN, WinOMS) and patient management software.
