Job summary

Marquette University seeks a Float Dental Coordinator to provide real-time coverage across PreDoc, Graduate, and specialty clinics. You will manage complex scheduling, coordinate with providers, and ensure accurate records using a dental practice management system.

You’ll support insurance verification, pre-authorizations, and patient financial inquiries while assisting students, residents, and faculty with policy guidance and scheduling processes.

Qualifications

  • Requires high school diploma or equivalent.
  • At least two years related experience.
  • Preferred degree in Healthcare Administration, Dental Hygiene, or Dental Assisting.
  • CPR certification preferred.
  • Experience with medical/dental coding, billing or claims processing.
  • Familiarity with dental practice management software.
  • Spanish speaking/writing ability is a plus.
  • Experience in an academic environment is desirable.

Responsibilities

  • Provide real-time coverage for Dental Coordinator absences across PreDoc, Graduate, and specialty clinics.
  • Coordinate complex patient scheduling including multi-appointment treatment plans and referrals.
  • Utilize dental practice management software to manage records, scheduling, and documentation for compliance.
  • Assist with insurance verification, pre-authorizations, and claims processing support.
  • Offer administrative support to students, residents, and faculty regarding patient assignments and policies.
  • Generate scheduling reports and support process improvements and audits.
  • Serve as cross-trained resource and assist with onboarding for new staff.
  • Ensure compliance with MUSoD policies, safety, and accreditation requirements.
  • Perform related duties to support clinic operations.

Duties and Responsibilities
  1. Provide real-time coverage for Dental Coordinator absences across PreDoc, Graduate, and specialty clinics. Maintain full working knowledge of program-specific workflows, scheduling templates, and clinic policies to ensure uninterrupted operations. Support high-volume areas during peak demand periods and assist with emergency chair coordination.
  2. Coordinate complex patient scheduling including comprehensive cases, multi-appointment treatment plans, emergency visits, D2 recalls, D3/D4 graduation requirement cases, and specialty referrals. Monitor provider schedules to optimize productivity while maintaining compliance with program and accreditation requirements.
  3. Utilize dental practice management software (Axium) to manage patient records, appointment workflows, referral tracking, insurance documentation, treatment notes verification, and data accuracy. Ensure proper entry of clinical codes, financial notes, and scheduling comments to support compliance and reporting for Dental Clinics.
  4. Assist with insurance verification, pre-authorizations, claims processing support, and patient financial inquiries. Monitor account documentation and ensure appropriate routing of financial concerns to designated personnel.
  5. Provide administrative support to students, residents, and faculty regarding patient assignments, schedule adjustments, clinic policies, and procedural workflows. Assist students in understanding appropriate communication channels and scheduling protocols. Serve as a primary point of contact for patients, students, faculty, and external partners. Address scheduling conflicts, patient concerns, and urgent clinic needs with professionalism and discretion. Maintain high standards of service in a diverse academic healthcare environment.
  6. Assist with generating scheduling reports, tracking data, productivity metrics, and operational audits as requested by the Manager. Support process improvement initiatives and cross-training efforts.
  7. Serve as a cross-trained resource across coordinator roles and assist the Manager with onboarding and workflow orientation for new staff as needed. Share operational knowledge, demonstrate system processes, and provide peer-level guidance to promote consistency in scheduling protocols and clinic procedures.
  8. Ensure compliance with MUSoD policies and procedures, as well as all safety, regulatory, and accreditation requirements.
  9. Perform any and all related duties as required or assigned to support efficient predoc clinic and grad clinic operations.
Required Knowledge, Skills and Abilities
  • High school diploma
  • Minimum of two years related experience
  • Receptionist duties, dental insurance processing, or other office experience
  • Excellent problem solving, planning, organizational and customer skills
  • Excellent listening, written and verbal communication skills
  • Ability to work and communicate with people from diverse populations
  • Ability to work independently in a high-volume academic healthcare environment with little supervision and frequent interruptions
  • Ability to maintain confidentiality
  • The Float Dental Coordinator role requires advanced adaptability, independent judgment, and the ability to quickly transition between clinic environments with minimal disruption to operations.
  • The position demands strong organizational skills, discretion with confidential health information ( HIPAA compliance), and the ability to manage frequent interruptions while maintaining accuracy.
  • Success in this role requires cross-functional collaboration, strong problem-solving ability, and a proactive approach to identifying operational gaps and supporting clinic efficiency.
Preferred Knowledge, Skills and Abilities
  • Associate’s or vocational/technical school degree in Healthcare Administration, Dental Hygiene or Dental Assisting
  • CPR Certification
  • Prior experience with medical/dental coding, billing or claims processing
  • Familiarity with dental practice management software
  • Previous experience in an academic environment
  • Ability to speak and write in Spanish
