Job summary

Hamrick's is seeking a detail-oriented Data Processing Associate to enter, review, and maintain accounting data in NetSuite and Excel. This role supports the Accounting Department by processing financial transactions, maintaining accurate records, reviewing discrepancies, and preparing reports in support of Hamrick’s retail, wholesale, distribution, and e-commerce operations.

The Data Processing Associate is responsible for accurately entering, reviewing, verifying, and maintaining accounting and financial data within NetSuite and Microsoft Excel. This position supports the Accounting Department by processing financial transactions, maintaining accurate records, reviewing discrepancies, and preparing reports in support of Hamrick’s retail, wholesale, distribution, and e-commerce operations.
The ideal candidate will be detail-oriented, organized, dependable, and comfortable working with computerized accounting systems and spreadsheets while maintaining the confidentiality and accuracy of company financial information.

Responsibilities

Enter, update, and maintain accounting and financial information in NetSuite.

Process assigned transactions, invoices, credits, adjustments, and other accounting records in accordance with established procedures.

Review source documents for accuracy, completeness, appropriate coding, and required approvals.

Verify data entered into NetSuite against invoices, reports, statements, and other supporting documentation.

Identify duplicate entries, missing information, inconsistencies, and other processing errors.

Correct discrepancies within the scope of assigned responsibilities or refer them to the appropriate supervisor.

Enter, organize, review, and maintain accounting data in Microsoft Excel spreadsheets.

Prepare and update spreadsheets, schedules, and routine financial reports.

Use basic Excel functions, sorting, filtering, and formulas to organize information and verify data accuracy.

Compare information from NetSuite reports with supporting spreadsheets and documents.

Assist with identifying variances and researching discrepancies between reports and accounting records.

Maintain consistent, organized, and accurate electronic files.

Assist with accounts payable, accounts receivable, invoice processing, and other accounting functions as assigned.

Process and verify store sales information, deposits, transaction records, and related documentation as applicable.

Assist with account reconciliations by gathering records, comparing information, and identifying differences for review.

Maintain organized electronic records and supporting documentation for accounting reviews and audits.

Provide accurate information and reports to Accounting personnel and other authorized departments as requested.

Follow established accounting procedures and company internal controls.

Review processed transactions and reports for completeness, accuracy, and consistency.

Protect confidential financial, vendor, customer, and company information.

Follow assigned system access permissions and approval requirements.

Promptly report unusual transactions, recurring errors, or discrepancies to the appropriate supervisor.

Meet established processing deadlines and productivity expectations.

Communicate professionally with Accounting personnel and other departments to resolve data-related questions.

Assist with accounting projects, reporting requests, and process improvement initiatives.

Perform other related duties as assigned by the Accounting Manager or designated supervisor.

Qualifications

Previous experience with NetSuite or another ERP/accounting system preferred.

Working knowledge of Microsoft Excel required.

Strong attention to detail and numerical accuracy.

Ability to handle repetitive processing tasks while maintaining consistent quality.

Strong organizational skills and ability to prioritize assignments.

Ability to meet deadlines and manage multiple tasks.

Effective written and verbal communication skills.

Ability to work independently and collaboratively.

Commitment to confidentiality, accuracy, and compliance with established procedures.

Required Experience

Ability to navigate NetSuite and enter, retrieve, and review accounting information.

Proficiency in Microsoft Excel, including data entry, sorting, filtering, basic formulas, and spreadsheet formatting.

Ability to compare reports, validate information, and identify discrepancies.

Experience with Excel lookup functions, PivotTables, and more advanced formulas is a plus.

Required Education

High school diploma or equivalent required.
