Position Summary
The Data Assistant plays a critical behind-the-scenes role in helping Music Orchard Richmond understand, communicate, and improve its impact. This part-time position is responsible for tracking student and program data, supporting grant reporting and compliance, designing and administering surveys, and translating data into clear, actionable insights for the organization.
We’re looking for someone who is detail-oriented, curious, and comfortable working with data — someone who understands that good information leads to better decisions for the students and families we serve.
Key Responsibilities:

Student & Program Data Tracking
- Maintain accurate, up-to-date records of student enrollment, attendance, participation, and progress across Music Orchard Richmond programs
- Organize and manage program data in spreadsheets or database systems, ensuring consistency and integrity across all records
- Collaborate with the Program Assistant and teaching artists to collect and verify data from program sites
- Identify and flag gaps, inconsistencies, or trends in program data for the Executive Director
Survey Design & Administration
- Design clear, effective surveys for students, families, teachers, and community stakeholders to gather feedback on programs and outcomes
- Administer surveys at appropriate intervals throughout the program year, coordinating logistics with site staff as needed
- Compile and organize survey responses for analysis, ensuring data is stored securely and accessibly
- Iterate on survey instruments over time based on organizational needs and feedback
Data Analysis & Reporting
- Analyze program and survey data to identify trends, outcomes, and areas for improvement
- Prepare clear, concise data summaries and visualizations for internal use by the Executive Director and team
- Support the preparation of grant reports by pulling, organizing, and presenting data that demonstrates program impact and compliance with funder requirements
- Assist with data narratives for grant applications, annual reports, and donor communications
- Ensure all reporting meets funder deadlines and requirements in coordination with the Executive Director
Data Systems & Organization
- Help establish and maintain organizational data management practices and tools
- Document data processes and create simple guides so information is accessible to the broader team
- Maintain confidentiality and data privacy standards in all work involving student and family information
- Support ongoing improvements to how Music Orchard Richmond collects, stores, and uses data as the organization grows

- Some experience working with data — whether through coursework, prior employment, internships, or volunteer work
- Comfort with spreadsheet tools (Google Sheets, Microsoft Excel, or similar)
- Strong attention to detail and commitment to accuracy
- Ability to organize and manage information independently and meet deadlines
- Clear written communication skills, including the ability to present data in plain, accessible language
Preferred
- Experience with data collection and analysis in a nonprofit, educational, or research setting
- Familiarity with grant reporting or program evaluation frameworks
- Experience designing and administering surveys (e.g., Google Forms, SurveyMonkey, or similar tools)
- Basic data visualization skills (charts, dashboards, or similar)
- Interest in music, arts education, or youth development
