About the Role:

As our Customer Support Administrative Specialist, you'll be the friendly voice and first point of contact for our valued customers. You'll answer phones, emails, and chats, ensuring every interaction is professional, helpful, and leaves a positive impression of our brand. You'll also handle order fulfillment, manage our affiliate program, and assist with various administrative tasks to keep our team thriving.

Responsibilities:

  1. Answer phone calls, emails, and chats, assessing inquiries and directing them appropriately.
  2. Greet visitors, manage the sign-in book, and issue guest badges.
  3. Maintain and grow the Malibu C Affiliate program through the Growth Hero platform.
  4. Be familiar with MalibuC.com and Shopify to assist customers with orders, website navigation, and FAQs.
  5. Process orders in Sage 100, including direct sales, replacements, and employee orders.
  6. Investigate and resolve customer and distributor issues related to miss-ships, damages, complaints, and errors.
  7. Develop and maintain customer profiles in Sage 100, updating addresses, emails, and other information.
  8. Monitor online orders and local pick-up orders.
  9. Provide timely and positive communication to both internal and external customers.
  10. Support various marketing initiatives, including Swim Team & Shop programs, affiliate programs, and social media.
  11. Answer Amazon customer questions and respond to reviews.
  12. Manage and update the Malibu C Salon Locator.
  13. Assist the Education department with tasks, projects, and organization.
  14. Complete administrative tasks as assigned by your supervisor.
  15. And more!

Who You Are:

  1. Current cosmetologist license required.
  2. Energetic, outgoing, personable, and approachable with a passion for providing exceptional customer service.
  3. Proven experience in order entry, data entry, and inventory management systems.
  4. Strong multitasking, organizational, and time management skills.
  5. Excellent verbal and written communication skills.
  6. Proficient in Microsoft Office Suite (Excel, Outlook, Word).
  7. Ability to learn and utilize new software, including Sage 100, Shopify, Slack, and Wrike.
  8. Understanding of deals and promotions to effectively upsell orders.
