Job summary

Whitestone International is seeking an experienced Customer Service & Operations Coordinator to help manage customer accounts, process orders, and coordinate shipments in a fast-paced import environment. Qualifications

• Previous experience in customer service, order management, logistics, distribution, or sales operations.
• Import, logistics, or wholesale distribution experience strongly preferred.
• NetSuite experience preferred; experience with another ERP system accepted.
• Proficiency with Microsoft Excel or Google Sheets.
• Strong written and verbal customer communication skills.
• Excellent organization, attention to detail, and follow-through.
• Ability to manage multiple orders and deadlines with limited supervision.
• Strong problem-solving skills and a willingness to take ownership of issues through resolution.

Responsibilities

• Serve as a primary contact for customer questions and order updates.
• Create and maintain sales orders, purchase orders, invoices, packing lists, and related documents.
• Track production, ocean containers, domestic shipments, ETAs, and deliveries.
• Coordinate shipments with customers, suppliers, warehouses, freight forwarders, and carriers.
• Maintain accurate information in NetSuite, spreadsheets, and internal tracking systems.
• Prepare open-order reports and other recurring customer reports.
• Proactively communicate delays, discrepancies, and delivery issues.
• Investigate and help resolve shortages, damages, rejected deliveries, and customer claims.
• Review orders and documents for accuracy, including quantities, pricing, shipping details, and customer requirements.
• Follow orders through delivery and invoicing to ensure timely completion.
