Customer Service Representative (Facilities Maintenance)

Vixxo Kansas is seeking a full-timeFacilities Administratorto be based in ourColwich, KS,office.(In-office: Monday through Friday)

THE ROLE:

The Facilities Administrator assists the facilities management team to ensure successful service delivery of the client’s facilities needs.

TOP RESPONSIBILITIES:

  • Assists manager in addressing client inquiries and concerns, ensuring timely and quality issue resolution and service delivery.
  • Follows up with contractors to ensure timely execution & closeout of work orders at the direction of the manager.
  • Utilizes manager provided reporting to identify and escalate open work orders that are falling outside of the customers SLAs (SLAs such as Tech to Site compliance, Budget, IVR usage and process compliance).
  • Follows up on completed work orders with contractors to ensure timely delivery of invoices and backup documentation needed to comply with the client’s contract.
  • Audits final contractor invoice pricing based on manager and client approval criteria to ensure it meets both the contractor’s stated contracted rates and markups as well as being compliant with the client's contract
  • Assists manager in monitoring and assessment of contractor performance.
  • Utilize technology platforms to document facilities management activities.

QUALIFICATIONS:

  • High School Diploma/ GED required. Some college preferred.
  • Basic understanding of facility repairs, including plumbing, electrical, and HVAC.
  • Ability to operate general office equipment, including multi-line phone systems.
  • Excellent time management skills and adaptable to change.
  • Ability to apply basic math, including adding, subtracting, multiplying, and dividing in all units of measure.
  • Ability to communicate verbally one-on-one or in group settings and active listening.
  • Strong attention to detail with a focus on quality and accuracy.
  • Exhibits dependability, including following instructions, responding to directions, and taking responsibility for your own actions.
  • Ability to take initiative, including asking for and offering help when needed. Can work independently.
  • Ability to prioritize and plan work activities, use time efficiently, and work within deadlines.
