Job description

Lyten is leading an industrial revolution through Lyten 3D Graphene™, a breakthrough supermaterial unlocking a new generation of products — from lithium–sulfur batteries and energy storage systems to concrete admixtures, lightweight composites, and next‑generation sensors that are revolutionizing industries. Together, these innovations are making a massive global improvement and driving real‑world impact across energy, mobility, construction, and defense.

At Lyten, we believe the most meaningful careers begin with purpose — and with people who want to make a difference. We’re not just developing advanced supermaterials — we’re about to change the world as we know it, reshaping how energy is stored, how products are built, and how progress is made.

We’re entering an exciting growth phase, scaling production across the U.S. and Europe and expanding our team of engineers, scientists, and innovators.

We are seeking a highly organized and versatile Customer & Order Management Specialist to serve as the operational backbone for our commercial and supply chain teams. This cross‑functional role requires a proactive problem‑solver who can seamlessly navigate between customer engagement, inventory management, financial coordination, and general office administration.

You will be responsible for ensuring the smooth execution of the order‑to‑cash process, utilizing NetSuite to generate quotes, process orders, and maintain accurate inventory records. The ideal candidate is detail‑oriented, customer‑focused, and comfortable wearing multiple hats in a fast‑paced, high‑growth environment.

Key Responsibilities

  • Quote & Order Management:

    • Generate, review, and issue accurate customer quotes and proposals within NetSuite.

    • Manage end‑to‑end order entry, ensuring all customer purchase orders are processed promptly and accurately.

    • Maintain and update customer records, pricing tiers, and order statuses in the ERP/CRM systems.

  • Customer Engagement & Support:

    • Serve as the primary point of contact for customer follow‑ups regarding order status, shipping timelines, and product availability.

    • Proactively communicate any delays or issues to customers and internal sales teams, ensuring a high level of customer satisfaction.

  • Inventory Management:

    • Monitor and manage inventory levels to support sales forecasting and fulfillment.

    • Coordinate with manufacturing, warehouse, and supply chain teams to reconcile inventory records and prevent stockouts or overages.

  • Finance & Billing Coordination:

    • Partner closely with the Finance and Accounting departments to resolve payment discrepancies, billing issues, and account holds.

    • Follow up on outstanding invoices and assist in accounts receivable (AR) payment resolution.

  • General Administration:

    • Provide comprehensive administrative support to the sales and operations teams.

    • Assist with ad‑hoc reporting, data entry, and special projects as needed to support business growth.

Required Qualifications

  • Education & Experience:

    • Bachelor’s degree (BA/BS) with 5+ years of relevant professional experience in sales operations, administration, or order management; OR

    • 10+ years of proven, directly relevant experience in business administration, customer support, and operations.

  • Software Proficiency: Hands‑on experience working with ERP and CRM systems; direct experience using Oracle NetSuite for quoting and order entry is highly preferred.

  • Analytical & Detail‑Oriented: Strong administrative skills with a high degree of accuracy in data entry and record‑keeping.

  • Communication Skills: Excellent written and verbal communication skills, with the ability to maintain professionalism when interfacing with external customers and internal finance/engineering teams.

  • Problem‑Solving: Ability to independently troubleshoot payment resolutions, order bottlenecks, and inventory discrepancies.

Preferred Qualifications

  • Experience working in a manufacturing, hardware, or hardware‑tech startup environment.

  • Advanced proficiency in Microsoft Excel or Google Sheets (vlookups, pivot tables) for inventory and sales reporting.

  • Understanding of basic accounting or order‑to‑cash financial principles.
