Window World of Buffalo, Rochester, Syracuse, and Jamestown is seeking an Office Coordinator / Customer Service Representative to join our friendly team in a fast-paced office. You will handle inbound/outbound calls, schedule installations and service visits, maintain CRM records, and support sales and operations.

Responsibilities

• Answer inbound and outbound customer calls with professionalism and enthusiasm.
• Provide outstanding customer service while resolving customer questions and concerns.
• Schedule and coordinate customer appointments, installations, and service visits.
• Communicate with customers regarding scheduling, project updates, and follow-up.
• Work closely with sales representatives, installers, technicians, and office staff to ensure projects move smoothly.
• Maintain accurate customer records within our CRM system.
• Process paperwork, work orders, and other administrative tasks accurately.
• Assist with scheduling and coordinating installation crews when assigned.
• Prepare work orders and documentation for service technicians and installers.
• Monitor customer projects and proactively communicate updates.
• Help identify and resolve issues before they become customer concerns.
• Perform other office and administrative duties as assigned.
