For more than 24 years, Olympia Stone has crafted custom granite, quartz, quartzite, and marble pieces for homes across the Indianapolis area. We are a close-knit, family-owned business, and we take genuine pride in every kitchen and bath we help bring to life.
We're looking for a warm, organized Customer Care & Sales Support Specialist to be the friendly voice and welcoming face of our front office and the person who makes sure every new project starts off right. You'll greet callers and visitors, make the first "welcome aboard" call to every newly sold customer, confirm each job’s details are complete in SPS, keep purchase orders, change orders, and signed documents accurate and on file, follow up in and manage our Stone Engage CRM, and manage our social media. You'll report to our Office Manager and work hand in hand with our Stone Consultants, supporting them behind the scenes (this is not a sales role) in a small, collaborative office where questions are always welcome.
No stone experience? No problem. We'll train you on our systems from day one. If you've thrived in hospitality, retail, a construction or trade office, or any customer service role, we encourage you to apply
What You'll Do:
Welcome Every Caller and Visitor
- Answer our main phone line and greet walk-ins and showroom visitors.
- Carefully route calls and messages to the right person so no one is left waiting.
Start Every New Customer Off Right
- Personally make an introductory call to every new customer so they know who we are and what happens next.
- Patiently answer questions and help customers feel cared for from the very first conversation.
- Walk the customer through the job’s scope of work, check each detail against our internal checklist, and follow up on anything missing.
Support Our Stone Consultants
- Reliably follow up on missing job details and open items handed off by our Stone Consultants.
- Clearly pass back what you learn so our consultants always know where things stand.
Keep Orders, Sealing, and Calendars on Track
- Create and track purchase orders for brackets, sinks, and faucets.
- Carefully manage HydroShield sealing purchase orders and scheduling with our sealing partner.
- Enter change orders in SPS and scan signed copies to the job file.
- Mark material sold when a quote becomes a job at signed contract and deposit.
- Diligently keep our SPS and Google calendars accurate, current, and easy for everyone to read.
Help the Office Run Smoothly
- Thoughtfully keep our front-office process documents current as the way we work improves.
- Gladly pull reports and lend a hand wherever the office needs support.
Manage Stone Engage and Social Media
- Reliably follow up in Stone Engage and keep the CRM current.
- Thoughtfully manage our social media so our work and our team stay visible.
