Job Summary
Performs a variety of moderate administrative and secretarial support functions for the CTE department.
Essential Functions

ESSENTIAL DUTIES AND RESPONSIBILITIES Generally Include The Following
- Performs clerical and secretarial functions to support the PUSD CTE Strategic Plan, its programs, and the leadership team, including managing telephone calls.
- Schedules meetings, conferences, interviews, in-services, workshops, and other activities.
- Arranges meeting sites and handles logistical requirements. Makes travel arrangements as needed.
- Prepares agendas, presentations, and informational packets for the department.
- Coordinates the CTE department calendar.
- Maintains department’s portal, website, and social media for communication with internal and external stakeholders.
- Coordinates ad hoc or special projects.
- Maintains, updates, and creates files, records, and databases for assigned programs or department.
- Schedules employment interviews and conducts reference checks.
- Maintains and edits timesheets for the department.
- Tracks CTE advisory board members, teacher certification, stipends, and inventory.
- Processes agreements, contracts, and applications within the CTE department.
- Performs other duties as assigned.
Knowledge and Skills
- Knowledge of applicable federal, state, county, and city statutes, rules, policies, and procedures.
- Knowledge of district and departmental policies.
- Proficiency in Microsoft Office (Word, Excel, databases).
- Attention to detail, thoroughness, and follow-through.
- Courtesy and professionalism.
- Effective communication and relationship skills.
- Skill in operating a personal computer and office equipment.
Minimum Qualifications
High School Diploma or GED, AND two (2) years of administrative/secretarial experience, or equivalent experience/education.
Other Requirements
- Pass fingerprint and background check.
- Work outside normal hours if needed.
- Possess and maintain a valid Arizona driver’s license if required.
