Advanced Dermatology & Skin Surgery in Spokane Valley seeks a Cosmetic Concierge Coordinator to guide cosmetic patients from inquiry through consultation, treatment, skincare recommendations, and follow-up, delivering a polished, patient-first experience.

The role involves coordinating consultations, scheduling, pricing, and educating patients on loyalty programs, skincare products, and promotions. Travel between locations may be required, and evening events are possible.

Qualifications

• Minimum 2 years of customer service experience.
• Experience in cosmetic dermatology or luxury high-touch service preferred.
• Strong written and verbal communication; proficient with Microsoft Office.

Responsibilities

• Guide patients from initial inquiry through treatment and follow-up.
• Coordinate consultations, treatment appointments, pricing, and pre-/post-procedure instructions.
• Manage daily inbound/outbound patient calls related to appointments, promotions, events, and follow-up.
• Reconnect with prospective patients and help convert inquiries into scheduled treatments.
• Enroll and educate patients on loyalty programs (Allē and ASPIRE).
• Educate patients about medical-grade skincare and assist with retail recommendations and sales.
• Follow up with patients after procedures and address concerns promptly.
• Support cosmetic inventory and department responsibilities as needed.
• Participate in cosmetic events, skincare events, and open houses, including evening events.

As our Cosmetic Concierge Coordinator, you will be a key point of contact for cosmetic patients, guiding them from their first inquiry through consultation, treatment, skincare recommendations, and post-procedure follow-up. This role is ideal for someone who is polished, highly organized, confident on the phone, and comfortable with relationship-based sales.

What You'll Do

You will work closely with our cosmetic providers, aestheticians, coordinators, and practice leadership to deliver a seamless experience for every patient.

• Guide patients through the cosmetic and aesthetic process, from initial inquiry through treatment and follow-up.
• Coordinate consultations, treatment appointments, procedure scheduling, price quotes, and pre- and post-procedure instructions.
• Manage daily inbound and outbound patient calls related to appointments, consultations, promotions, events, and follow-up.
• Reconnect with prospective patients and help convert inquiries and consultations into scheduled treatments.
• Enroll and educate patients on applicable cosmetic loyalty programs, including Allē and ASPIRE.
• Educate patients about medical-grade skincare and assist with retail skincare recommendations and sales.
• Follow up with patients after cosmetic procedures and help ensure concerns are addressed promptly and professionally.
• Support cosmetic inventory and other department responsibilities as needed.
• Actively participate in cosmetic events, skincare events, promotional events, e-commerce sales, and evening open houses.
• Support event-related patient education, scheduling, sales, and follow-up to help drive a successful patient experience.

What We're Looking For

We're looking for someone who naturally connects with people, notices details, and follows through. You should enjoy helping patients learn about aesthetic treatments and skincare while maintaining a professional, patient-first approach.

Qualifications & Experience

• 2+ years of customer service experience required.
• Experience in cosmetic dermatology, medical aesthetics, dermatology, plastic surgery, med spa, spa/salon, luxury retail, hospitality, or another high-touch service environment is strongly preferred.
• Previous cosmetic, skincare, retail, or consultative sales experience is a plus.
• Strong computer proficiency with the ability to confidently navigate and work within multiple software programs and systems throughout the day.
• Proficiency with Microsoft 365 (Office 365) applications, including Outlook, Word, Excel, and Teams.
• Strong written and verbal communication skills, along with solid basic math skills.
• Ability to quickly learn and confidently communicate information about cosmetic procedures, medical-grade skincare products, promotions, pricing, and patient loyalty programs.
• Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
• High level of discretion and a strong understanding of patient privacy and HIPAA requirements.

Schedule & Location

• Full-time position based primarily at our Spokane Valley location.
• Travel between Advanced Dermatology & Skin Surgery locations may be required based on patient, provider, training, staffing, or event needs.
• Flexibility to participate in occasional evening cosmetic events and open houses is required.
