Job summary

Columbus Equipment Company, a long‑standing heavy equipment dealer, is seeking a Fleet Administrator to oversee company vehicles and ancillary equipment. You will ensure accurate records for registrations, fuel, tools, and telematics, while coordinating with Safety, HR, and branches to maintain compliance and efficient asset use.

The role requires 2+ years in fleet administration, solid knowledge of DOT/FMCSA requirements, and proficiency with Microsoft Office.

Qualifications

  • High school diploma or equivalent required.
  • 2+ years of fleet administration, fleet management, transportation, or compliance experience preferred.
  • Knowledge of DOT, FMCSA, CDL, fleet compliance, vehicle registration, fuel tax, and reporting requirements.
  • Proficiency with Microsoft Office applications, including Excel, Outlook, Word, and Teams.
  • Strong organizational, recordkeeping, communication, and problem-solving skills.

Responsibilities

  • Acquire, license, equip, assign, track, and dispose of company vehicles and ancillary equipment (including company-owned forklifts).
  • Maintain complete and accurate records of all company-owned vehicles, assignments, keys, GPS units, fuel cards, tools, and equipment inventories.
  • Manage fuel, maintenance, tire, repair, preventive maintenance, inspections, and vehicle lifecycle programs.
  • Maintain DOT, FMCSA, Clearinghouse, CDL, driver qualification, hour recap log, and driver documentation compliance requirements.
  • Coordinate with Safety, Training, Human Resources, and branch personnel to maintain safety standards, regulatory compliance, and corrective actions.
  • Prepare and submit required tax, IFTA, fuel, highway use, and regulatory reports.
  • Manage vehicle registration, titles, license plates, stickers, BMV documentation, and related records.
  • Administer fleet GPS and telematics platforms, including Fleetio, Geotab/Teletrac management, reporting, training, and issue resolution.
  • Monitor field service trucks, cranes, pickups, cars, trailers, and forklifts for inspections, compliance, maintenance, and utilization.
  • Conduct branch audits and maintain records supporting EPA and environmental compliance requirements.
  • Track fuel usage, costs, depreciation, cost of ownership, lifecycle metrics, and fleet performance reporting.
  • Investigate fleet incidents, accidents, violations, and compliance concerns; prepare reports and recommend corrective actions.
  • Maintain productive relationships with suppliers, vendors, and service providers.
  • Perform other fleet-related duties as assigned.

Responsibilities and Duties (Includes, but not limited to)

Acquire, license, equip, assign, track, and dispose of company vehicles and *ancillary equipment (*Including but not limited to, company owned forklifts)

Physical Requirements
  • Ability to sit for extended periods while working on a computer.
