Job summary

CyberSearch in Los Angeles, CA is seeking a Corporate Event Planner to lead planning and execution of meetings, conferences, and live experiences. You will be involved in budgeting, vendor selection, venue, A/V, and attendee communications.

You will collaborate with internal partners, manage multiple events simultaneously, and ensure outcomes support business objectives and company culture. The role is hybrid with four days onsite and Friday remote for a 12‑month assignment.

Qualifications

  • Intermediate project management skills.
  • Proficient with CVENT and MS Office.
  • Ability to maintain confidentiality.

Responsibilities

  • Drives the planning process to meet business objectives and measure outcomes.
  • Executes meetings and events from concept to execution including schedule, venue management, A/V, attendee management, catering, transportation, staffing, and budget.
  • Selects and negotiates vendor and venue contracts, considering costs, risks, and service outcomes.
  • Manages multi-channel projects including audio visual, live experiential events, video production, social and digital journeys and related vendors.
  • Prioritizes and manages multiple meetings, timelines, stakeholders, and vendors to meet business needs.
  • Manage attendee communications including invitations, registration, and inquiries.
  • Serve as a resource to METS Planners when not leading the assigned program.
  • Establishes lessons learned to improve future meetings.
  • Demonstrate sound judgement in resolving matters of moderate complexity.

Corporate Event Planner

(Hybrid, 4 days onsite- Friday’s remote)

Overview:

Demonstrates an intermediate knowledge level in meeting and event planning and works under limited direction to resolve complex issues and/or address rare, high impact situations. Responsible for the development, planning, execution, budgeting, risk mitigation and outcomes of a wide range of meetings and events that impact our strategy, priorities, associate experience, and culture. Guides and executes the planning from an initial concept through completion, while enhancing and materializing ideas.

Primary responsibilities/essential functions:
  • Drives the planning process, making recommendations to meet business objectives and measures meeting outcomes.
  • Executes meetings and events from concept to execution including schedule, format, venue management, audio/visual technology, attendee management, food and beverage, transportation, accommodations, staffing, and budget management.
  • Selects, recommends, and negotiates all vendor and venue contracts, while considering costs, risks, and service outcomes.
  • Manages and executes multi-channel projects that include audio visual, live experiential events, video production, social and digital customer journeys and the vendors that support these areas.
  • Prioritizes and manages multiple meetings, timelines, stakeholders, partners, and vendors to meet business needs.
  • Manage attendee communication including pre-event communication, invitations, registration and respond to event inquiries.
  • Serve as a valuable secondary resource to METS Planners when not taking the lead on the assigned program.
  • Establishes lessons learned to improve future meetings.
  • Demonstrate sound judgement in resolving matters of moderate complexity.
  • Develop and maintain effective professional relationships with key external and internal customers, business units, vendors and colleagues.
Industry Best Practice Research
  • Monitor industry trends, competitive landscape, social media, and device landscape to inform and inspire the development of new event experiences.
  • Stays informed of venues, market rates, and meeting planning execution best practices.
  • Identifies inefficiencies/issues, recommends solutions, implements improvements.
  • Oversee onsite attendees monitoring meeting attendance, attendee health/safety, live travel status and ground transportation.

  • Participate in special projects that benefit the operations of the department.

  • Handle sensitive information and maintain data confidentially.
Working conditions:
  • Local Travel required (up to 25%)
  • Required to do extensive standing and walking (up to 8 hours a day)
  • Flexible schedule can include irregular hours/evenings/early mornings/weekends
  • May be required to drive personal vehicle to events
  • Ability to transport supplies and materials that weigh up to 50lbs/23kgs
