Job summary

Coldwell Banker Harris McHaney & Faucette in Northwest Arkansas seeks a Corporate Administrator – Assistant to the CEO to provide executive support, manage calendars, coordinate meetings, and handle confidential tasks in an in-office role.

You will assist with recruiting support, reporting, travel arrangements, and event planning while helping maintain reports, policies, and company culture. This full-time position offers a Monday–Friday schedule, PTO, holiday pay, and 401(k) matching.

Qualifications

  • Associate degree or equivalent required; Bachelor's degree preferred.
  • 3+ years of administrative experience, ideally supporting an executive or leadership team.
  • Experience with scheduling, document organization, office coordination, and reporting across multiple systems.
  • Working knowledge of AI systems and tools such as ChatGPT, Claude, Gemini, CoPilot.
  • Strong Microsoft 365 skills (Excel, Word, PowerPoint, Outlook) and familiarity with Google Workspace.
  • Excellent written, verbal, and listening communication skills. Must be able to listen with detail and extract summaries from meetings.
  • Strong organization and time management, with the ability to juggle multiple deadlines.
  • A sharp eye for detail and a commitment to discretion and professionalism.

Responsibilities

  • Schedule: Full-time, consistent 40hr work week, Monday–Friday, Flexible Start/End Time
  • Pay: $26 - $28 Hourly, Non-exempt

As our Corporate Administrator, you will be the right hand to our CEO and leadership team. You will handle executive support, reporting, recruiting support, meetings, and events, and you will help set the tone for the people who make our company run.

What You Will Do
Executive Support
  • Work directly with the CEO daily; Manage the CEO's calendar, schedule meetings, and coordinate logistics
  • Monitor the CEO's email and flag important messages, updates, and potential issues
  • Attend meetings as requested, take detailed notes, and send clear follow-up summaries
  • Prepare agendas, documents, presentations, and reports
  • Handle business and personal tasks for the CEO, such as online orders, appointments, insurance-related items, gathering signatures, and support for affiliated businesses
  • Arrange travel and event registrations for the CEO and leadership team
  • Serve as a professional point of contact between the CEO and internal and external stakeholders, making sure follow-through happens on time
  • Handle sensitive information with complete confidentiality
Leadership, Recruiting, and Reporting
  • Support company-wide recruiting goals alongside the CEO and Growth & Recruiting Leader
  • Schedule and prepare agendas for recurring meetings, including monthly leadership meetings, 1:1 coaching sessions, and property management meetings
  • Maintain key reports and trackers, including the Pending Business Report, 12-month running tracker, and agent activity and sales meeting attendance
  • Pull MLS reports and update the agent roster (training provided)
  • Help with form and policy updates and with annual or recurring company projects
Office Operations and Culture
  • Coordinate company-wide meetings: prepare materials, reserve rooms, set up technology, and set up the conference room for weekly meetings
  • Manage vendor relationships and keep the vendor list current
  • Plan and run monthly office events, holiday and seasonal gatherings, and birthday and anniversary celebrations
  • Work with the Front Desk Administrator and other offices to keep supplies stocked
  • Maintain the company out-of-office calendar in Outlook and help staff with calendar management
  • Keep shared spaces organized, including the breakroom, meeting rooms, and copy room
  • Step in when needed to cover the front desk or closings
What You Bring

Work Environment

This is an in-office only position reporting to our office located at 809 S. 52nd St. Rogers, AR. Typical workday is 8 hrs Monday through Friday; We do consider and respect shift flexibility in start and end times to accommodate your lifestyle. i.e. School pickup times, traffic avoidance for congested times, etc. The role involves computer work and may include lifting items up to 20 pounds.
