Accountability Objective The Coordinator of Advisement Systems/Academic Advisor assists students in determining appropriate educational and/or career goals that are consistent with their interests and aptitudes and then examines and explores various means of achieving these goals. The Incumbent also assists students in their acclimation to the College environment. The Incumbent further assists students in determining their program of study, selecting appropriate classes, creating an academic plan, providing intrusive advisement, and planning other related educational activities which will move the students toward their goals. The Incumbent will serve as an informational resource liaison with the college’s instructional staff and with the staffs of transfer schools. In working with students, the Incumbent will develop a relationship which will enhance and promote students taking responsibility for their respective decisions and actions. This position serves a vital role in our students’ journey to their education and career goals.

The Incumbent will participate in retention activities, develop and help coordinate programs that support student success and retention. Retention strategies will include, but are not limited to the research of student retention issues and the development of programs, in conjunction with instruction and student services departments, that will help ensure the success of at-risk populations.

  • Bachelor’s degree in any field from an accredited institution and either:
  • An academic background in counseling, student services, education, psychology, human services, social services, or a related people-focused field; or
  • Professional experience providing academic advising, student support, coaching, counseling, case management, or related services in an educational setting
  • Ability to present information objectively and allow students to reach their own decision
  • Ability to work a varied schedule, including occasional off-campus appointments during the college semesters
  • Demonstrated ability to plan, develop, organize, and implement programs and activities
  • Working knowledge of computers and Internet resources
  • Master’s Degree in a related field
  • Experience in registering and advising community college students
  • Working knowledge of DACC academic programs and services

  • Part-Time Positions – Only eligible for Paid Leave according to the PLAW Act.

Provide academic and career counseling to a diverse community college student population.

Give assistance to students in examining and exploring various means of achieving their educational and/or career goals.

Interpret various placement, achievement, and entrance exams.

Register students for appropriate classes/sections based on their educational goal, major, and transfer plans and create an academic plan for student success.

Educate students on academic regulations, degree requirements, and facilities of the college.

Perform degree audits. Identify options for students to satisfy specific degree requirements; evaluating and making recommendations for waivers/substitutions to the student’s program of study.

Assist with Degree Audit maintenance: develop programs, ensure information reported, and overall student service.

Evaluate student Applications/Intents to Graduate; providing timely feedback and possible plans if the certificate/degree is not close to completion.

Maintain student files and records; document all pertinent student information, update student information system (Datatel/Colleague/ CRM ).

Compile and maintain transfer curriculum guides, vocational fact sheets and other advisement informational materials as needed and/or assigned.

Disseminate information pertaining to Danville Area Community College curricula, i.e., program presentations, visitations to area high schools, career and college days, etc.

Make and receive student referrals to/from appropriate campus personnel and/or community agencies. Also, be cognizant of special issues that may develop with students and may come to your attention and refer students to the appropriate individual. Provide follow-up on student referrals to ensure student academic objectives are met.

Provide targeted/personalized advisement and interventions to selected populations to increase student retention and success.

Advocate for students and “troubleshoot” problems that arise when appropriate.

Provide retention data and findings to faculty and staff (for meetings, for policy/procedure reviews, at in-service, and as needed).

Present information at INST 101 Success in College classes during the semesters.

Enhance and expand the Advisor/Advisee relationships on campus by increasing the number of student contacts within a term/year; providing timely workshops; utilizing various methods of communication; and taking advisement services to the students (in different buildings, online, etc.)

Plan, develop, organize, and implement programs and activities as needed.

Serve on various career program advisory boards as assigned.

Develop working relations with staff of local high schools and transfer schools.

Represent the College to the general public.

Understand and implement all confidential information security policies: FERPA , GLBA , HIPA , Red Flag, etc.

Serve as an information resource liaison with the college’s instructional staff and service division.

Assist with special projects as needed. Areas will include recruitment, retention, assessment of student learning and departmental assessments.

Liaison between faculty, staff & students for majors advised.

Monitor the Customer Relationship Management ( CRM ) system for communication from students, faculty & staff.

Respond to CRM texts, emails & alerts.

Document in CRM outcomes of alerts and responses to alerts(ie: notes, texts & telephone calls).

Assist with the overall improvement of institutional data integrity.

Assume other duties and responsibilities as assigned.

Essential Job Functions
  • Assist in managing & troubleshooting Advisement Systems (ie: Student Planner, CRM Advise, Appointment Scheduling).
  • Create & manage tools to support insitutional initiative.
  • Create reports for Advisement data reporting.
