HCA Healthcare is seeking a Credentialing Coordinator to support medical staff services across the Capital Division. You will manage RFC, R-RFC and privilege requests, update Cactus practitioner records, and liaise with CPC and facilities to complete applications.

Responsibilities include data analysis for qualifications, preparation of review packets, and assisting with temporary privileges and post-board updates. Strong organizational and communication skills are essential.

Job Summary and Qualifications

Under management of the Division AVP of Medical Staff Services and Division Manager of Medical Staff Services, the incumbent provides services for the credentialing and privileging and database management functions of the Division Medical Staff Services Department (MSSD) including, but not limited to, Cactus file review for new applicants and re-applicants for membership and/or clinical privileges completed by the Credentialing Processing Center (CPC), updating the Cactus practitioner records in the Cactus database as appropriate, and utilizing HCA Healthcare tools for provisioning practitioners with appropriate access to HCA clinical systems and role based applications.

  • Initiate applications (RFC, RRFC, RFINCP) on behalf of Capital Division facilities for providers who meet minimal Threshold Eligibility Criteria (as defined in HCA Model Credentials Policy).

  • Apply the credentials evaluation process uniformly to all assigned RFC/applications, R-RFC/re-applications and Request For Increased, New Clinical Privileges, or Change in Prescriptive Authority(RFINCP) requests, including processing of flags, to ensure compliance with credentialing procedures.

  • In partnership with CPC and facility MSPs, communicate with providers and delegates to obtain missing or incomplete information and regarding status of requests/applications.

  • Facilitate review of clinical privilege requests using approved eligibility criteria and maintain privilege content within the Cactus system.

  • Compile and analyze any available internal data and information for an assessment of qualifications and competencies for R-RFC/re-applications.

  • Summarize and prepare credentialing information, including information about flagged concerns, for facility review.

  • In partnership with Division and facility leadership, facilitate requests for temporary privileges communicating with CPC leadership as needed.

  • Perform activities that support the facility dynamic expiration management process, communicating with both providers and the facility management team (PARA.PP.CRED.36 and MSS-003).

  • Perform facility post Board of Trustees processes including updates to the Cactus system record, eSAF and Meditech to reflect all Board actions on a practitioner’s Request for Consideration (RFC), Re-Request for Consideration (R-RFC), Request For Increased, New Clinical Privileges, or Change in Presa. Prescriptive Authority (RFINCP), including resignations, terminations, LOAs, denials, terminations, or withdrawals in accordance with facility and CPC policy (PARA.PP.CRED.28 and MSS-013) .

  • Utilize the Cactus system to create and upload applicable communication letters to providers based on Board/Facility actions.

  • Scan Board/Facility communication and approval documentation to Cactus provider records.

  • Generate and save Cactus Downtime reports monthly for each facility.

  • Respond to emails and voicemails promptly; monitor shared mailbox and calendar.

  • Perform hospital non-privileged provider licensure, NPI and exclusion checks in accordance with Ethics & Compliance Policy COG.PPA.002.

  • Support and facilitate information Sharing in accordance with COG.PPA.001.

  • Support communicable disease tracking/compliance.

  • Assist with preparation for regulatory, internal and accreditation surveys.

  • Respond to annual QIO Audits (KEPRO) on behalf of Division facilities.

  • Manage Physician Learning Center/Healthstream database for provider education.

  • Submit eSAF system access requests for new access, removals and changes to existing access.

  • Manage and update the Meditech/eHR Dictionary related to practitioner permissions and privileges.

  • Attend Division Medical Staff Services meetings - scheduled as needed (Webcam required).

  • Work scheduled hours and communicate any changes to supervisor.

  • Collaborate with Division leaders on pertinent projects as needed and perform other duties as assigned.

  • Proficient in Cactus Credentialing Software, Microsoft Office applications, Internet searches, and relevant databases.

  • Ability to work independently and under pressure to follow through on issues.

  • Ability to communicate clearly and concisely, both verbally and in writing.

  • Ability to establish and maintain long-term customer relationships, building trust and respect by consistently meeting and exceeding expectations

  • Ability to work effectively with other employees and external parties.

  • Knowledge of medical terminology.

  • Reasoning skills –Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

EDUCATION

High School diploma or equivalent required. Associate Degree or higher preferred.

EXPERIENCE

At least one (1) year previous Med Staff Services credentialing experience required.

HCA Healthcare credentialing and Cactus experience preferred.

CERTIFICATION

Certified Provider Credentialing Specialist (CPCS) preferred.
