Responsibilities

Position Summary

The Colorado Rockies are seeking a highly organized and detail-oriented Coordinator, In-Game Entertainment & Event Operations to help bring game days and special events at Coors Field to life.

This position provides essential administrative, financial, and logistical support for game-day programming, promotional activities, and departmental events. The Coordinator serves as a central point of contact for pregame groups, performers, military participants, volunteer organizations, and internal departments, ensuring that schedules, scripts, deliveries, payments, and event details are accurate and completed on time.

The ideal candidate enjoys working behind the scenes, communicates effectively with a wide range of partners, and can manage multiple time-sensitive assignments in a fast-paced, team-oriented environment.

Essential Duties and Responsibilities

Game-Day Programming and Coordination

  • Coordinate pregame group requests for all Rockies home games and maintain an accurate master schedule of participating groups, performers, and honorees.
  • Provide internal departments and external participants with timelines, scripts, arrival instructions, credentials, and other relevant event information.
  • Schedule anthem performers for designated games and coordinate related photographs, framing, plaques, and recognition materials.
  • Coordinate participation by active-duty military groups, veterans, and other honorees in game-day programming.
  • Prepare and distribute homestand reports and other operational information to Ballpark Operations, television and radio affiliates, and additional internal partners.
  • Attend homestand, special-event, operational, and safety meetings as assigned.

Event and Promotional Logistics

  • Maintain the department’s calendar for home games, non-game-day events, special events, deliveries, and other key deadlines.
  • Serve as the primary logistics contact for scheduling and receiving gate giveaways, promotional items, and other departmental deliveries.
  • Coordinate volunteer groups supporting gate-giveaway distribution, including scheduling, communication, ticket orders, and payment processing.
  • Provide planning and onsite support for departmental events, including Fantasy Camp, Opening Day activities, the Rockies 5K, client batting practices, the Golf Tournament, and other special events.
  • Help identify and resolve scheduling, delivery, and event-logistics issues, escalating concerns when appropriate.

Financial and Administrative Support

  • Process purchase requisitions and invoices accurately and within established deadlines.
  • Reconcile purchasing-card transactions and maintain current departmental expense-tracking records.
  • Organize and retain event, vendor, purchasing, and operational documentation.
  • Provide general administrative support, including departmental correspondence, scheduling, mail distribution, recordkeeping, and preparation of event materials.
  • Assist with the onboarding and administrative coordination of new part-time and seasonal employees.
  • Perform other duties and responsibilities as assigned.

Required Qualifications

  • One to two years of experience in event operations, administrative support, project coordination, hospitality, sports, entertainment, or a related professional environment.
  • Exceptional attention to detail, accuracy, and organization.
  • Demonstrated ability to manage multiple assignments, shifting priorities, and firm deadlines.
  • Strong written and verbal communication, interpersonal, and customer-service skills.
  • Ability to coordinate professionally and effectively with employees, vendors, performers, volunteer organizations, and other external groups.
  • Sound judgment and the ability to remain composed and solutions-oriented in a fast-paced environment.
  • Proficiency in Microsoft Word, Excel, PowerPoint, Teams and Outlook.
  • Ability to work independently while contributing effectively within a collaborative team.
  • Valid driver’s license and satisfactory driving record, if driving is required to perform the essential duties of the position.
  • Ability to obtain and maintain forklift certification through company-provided training following hire.

Preferred Qualifications

  • Bachelor’s or associate degree in event management, business administration, communications, hospitality, sports management, or a related field.
  • Experience supporting professional sports, live entertainment, hospitality, or high-volume events.
  • Experience using Asana or another project-management platform.
  • Experience processing invoices, reconciling purchasing-card transactions, tracking expenses, or providing budget-related administrative support.
  • Experience coordinating vendors, performers, volunteers, deliveries, or event participants.

Working Conditions and Physical Requirements

  • This position is based at Coors Field in Denver, Colorado, and is primarily performed onsite due to its collaborative, logistical, and game-day responsibilities.
  • Work is performed in office, stadium, event, loading, and shipping and receiving environments.
  • The position may occasionally work outdoors in varying weather conditions and in areas with elevated crowd or event noise.
  • The employee must be able to use a computer and other office equipment for extended periods and move throughout the ballpark, including offices, concourses, event spaces, loading areas, stairs, ramps, and elevators.
  • The position requires periods of standing and walking during games and special events.
  • The employee must be able to lift, carry, and move boxes, promotional items, and other materials weighing up to 50 pounds, with or without reasonable accommodation.
  • The employee must be able to perform the essential functions of the position, with or without reasonable accommodation.

Working Hours

  • This is a regular-status, full-time, onsite position. The typical non-game-day schedule is Monday through Friday, 8:00 a.m. to 5:00 p.m.
  • The schedule will vary based on business needs, the Major League Baseball season, and the department’s event calendar. Some special events requiring attendance would be Opening day, 5K, Golf Tournament, and various theme/giveaway days.
  • Evening, weekend, holiday, overtime, home-game, and special-event work may be required.
  • Because this is a nonexempt position, the employee is eligible for overtime pay in accordance with applicable law and Club policy.

Compensation and Benefits

  • The hourly rate of pay is $25.48–$27.40. This is a regular-status, full-time, nonexempt position and is eligible for overtime pay.
  • In addition to base compensation, the Club provides a competitive benefits package. Benefits include medical, dental, and vision coverage; a 401(k) plan with employer contributions; paid vacation and holidays; employee parking; employer-provided tickets to home games; onsite fitness classes and experiences; employee merchandise discounts; and additional benefits and programs.
  • Benefits are subject to applicable eligibility requirements and the terms of the official plan documents, which may be amended from time to time.
