Job summary

Lone Star College is seeking a Coordinator I, Procurement to support daily procurement operations and vendor onboarding across the system. This role provides administrative and system-level assistance to the Procurement Department and collaborates with internal staff and vendors on process improvements.

Responsibilities

  • Assist with onboarding, maintenance and general support of vendors in System procurement systems.
  • Serve as primary contact for vendors and System employees on onboarding requirements and processes.
  • Review vendor information for completeness and coordinate with departments for vendor setup.
  • Provide administrative and system support to the Procurement team, including transactions and documentation.
  • Maintain procurement records, calendars, and correspondence to support operations.
  • Assist with procurement-related documentation and communications.

Job Description
PURPOSE AND SCOPE:

The Coordinator I, Procurement facilitates daily operations within assigned area. Provides administrative and operational support to the Procurement Department and assists with the coordination of vendor onboarding, procurement activities, and related processes. Serves as a resource to System staff and vendors regarding procurement systems, vendor requirements, and general procurement processes. Supports the Procurement team in maintaining accurate procurement information, facilitating communication with internal and external stakeholders, and ensuring timely completion of assigned procurement-related activities. Makes and communicates process decisions based on best practices.

ESSENTIAL JOB FUNCTIONS:
  1. Assists with the onboarding, maintenance, and general support of vendors within System procurement systems and processes
  2. Facilitates daily operations of assigned area. Serves as a point of contact for vendors and System employees regarding vendor onboarding requirements, procurement processes, documentation, and system-related questions.
  3. Reviews vendor information and documentation for completeness and accuracy and coordinates with appropriate System departments to facilitate vendor setup and maintenance
  4. Provides administrative and system support to the Procurement team, including assisting with procurement transactions, solicitation activities, purchasing documentation, and related processes
  5. Assists with maintaining procurement records, calendars, correspondence, and other departmental information to support timely and effective procurement operations
  6. Assists with the preparation, processing, and maintenance of procurement-related documentation and communications
  7. Supports the Procurement team with the maintenance and accuracy of procurement-related data, systems, categories, and other information as needed
  8. Assists with the administration and maintenance of procurement-related web resources, forms, and informational materials. May monitor and maintain website for department and external use
  9. Provides general administrative support to the Executive Director and Procurement team, including coordination of meetings, communications, documentation, and other departmental activities
  10. Assists with special projects and process improvement initiatives designed to enhance Procurement operations, customer service, and vendor experience
  11. Perform other reasonable, related duties as assigned.
KNOWLEDGE, SKILLS, ABILITIES:
  • Ability to work in a collaborative work environment
  • Ability to communicate effectively with staff and vendors
  • Knowledge of common desktop office software (i.e., Microsoft Office Suite)
  • Knowledge of navigation for the procurement process in People Soft ERP
  • Knowledge of the procurement process in a public institution
PHYSICAL ABILITIES:

The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items, such as papers, books, or small parts; or driving an automobile. No special physical demands are required to perform the work.

WORK SCHEDULE AND CONDITIONS:
  • Equipment used includes, PC workstation running on a LAN in a Microsoft Windows environment, calculator, phone, and other general office equipment
  • Interface with internal and external contacts as needed to carry out the functions of the position
  • Work is performed in a climate-controlled office with minimal exposure to safety hazards
REQUIRED QUALIFICATIONS:
  • Associate degree or higher and at least 1 year of experience, or an equivalent combination of education and experience
PREFERRED QUALIFICATIONS:
  • Bachelor's degree
Salary

Hiring salary range is $38,761-$44,575

Lone Star College provides a hiring salary range for all posted full-time non-faculty positions. Where your salary offer would fall in that range is determined by your related experience and education.
