Job summary

Lone Star College is seeking a Coordinator I in Procurement to support daily operations, vendor onboarding, and procurement activities. You will coordinate with internal staff and vendors, ensuring timely processing and accurate records across procurement systems.

The role involves assisting with documentation, transactions, and process improvements, while providing general administrative support to the Procurement team and Executive Director.

Qualifications

  • Associate degree or higher and at least 1 year of related experience.
  • Equivalent combination of education and experience may apply.
  • Preferred: Bachelor’s degree.

Responsibilities

  • Onboard, maintain, and support vendors in procurement systems.
  • Serve as liaison between vendors and System staff.
  • Review vendor information for completeness and accuracy.
  • Support procurement transactions, documentation, and solicitation activities.
  • Maintain procurement records, calendars, and communications.
  • Assist with data maintenance across procurement systems and web resources.
  • Provide administrative support to the Executive Director and team.
  • Assist with special projects to improve procurement operations.

Job Description

Purposes and Scope: The Coordinator I, Procurement facilitates daily operations withinassigned area. Provides administrative and operational support tothe Procurement Department and assists with the coordination ofvendor onboarding, procurement activities, and related processes.Serves as a resource to System staff and vendors regardingprocurement systems, vendor requirements, and general procurementprocesses. Supports the Procurement team in maintaining accurateprocurement information, facilitating communication with internaland external stakeholders, and ensuring timely completion ofassigned procurement-related activities. Makes and communicatesprocess decisions based on best practices.

Essential Job Functions
  1. Assists with the onboarding, maintenance, and general supportof vendors within System procurement systems and processes
  2. Facilitates daily operations of assigned area. Serves as apoint of contact for vendors and System employees regarding vendoronboarding requirements, procurement processes, documentation, andsystem-related questions.
  3. Reviews vendor information and documentation for completenessand accuracy and coordinates with appropriate System departments tofacilitate vendor setup and maintenance
  4. Provides administrative and system support to the Procurementteam, including assisting with procurement transactions,solicitation activities, purchasing documentation, and relatedprocesses
  5. Assists with maintaining procurement records, calendars,correspondence, and other departmental information to supporttimely and effective procurement operations
  6. Assists with the preparation, processing, and maintenance ofprocurement-related documentation and communications
  7. Supports the Procurement team with the maintenance and accuracyof procurement-related data, systems, categories, and otherinformation as needed
  8. Assists with the administration and maintenance ofprocurement-related web resources, forms, and informationalmaterials. May monitor and maintain website for department andexternal use
  9. Provides general administrative support to the ExecutiveDirector and Procurement team, including coordination of meetings,communications, documentation, and other departmentalactivities
  10. Assists with special projects and process improvementinitiatives designed to enhance Procurement operations, customerservice, and vendor experience
  11. Perform other reasonable, related duties as assigned.
Knowledge, Skills, Abilities
  • Ability to work in a collaborative work environment
  • Ability to communicate effectively with staff and vendors
  • Knowledge of common desktop office software (i.e., MicrosoftOffice Suite)
  • Knowledge of navigation for the procurement process in PeopleSoft ERP
  • Knowledge of the procurement process in a publicinstitution
Physical Abilities

The work is sedentary. Typically, the employee sits comfortably todo the work. However, there may be some walking; standing; bending;carrying of light items, such as papers, books, or small parts; ordriving an automobile. No special physical demands are required toperform the work.

Work Schedule and Conditions
  • Equipment used includes, PC workstation running on a LAN in aMicrosoft Windows environment, calculator, phone, and other generaloffice equipment
  • Interface with internal and external contacts as needed tocarry out the functions of the position
  • Work is performed in a climate-controlled office with minimalexposure to safety hazards
Required Qualifications
  • Associate degree or higher and at least 1 year of experience,or an equivalent combination of education and experience

Salary

Hiring salary range is $38,761-$44,575

Lone Star College provides a hiring salary range for all postedfull-time non-faculty positions. Where your salary offer would fallin that range is determined by your related experience andeducation.
