How we LEAD:

As a Facilities Coordinator in the Administrative Services Department, you will support general facilities and administrative functions. You will report directly to the Executive Director, Administrative Services, assisting with daily operations at our Los Angeles offices and affiliate labels.

How you’ll CREATE:
  • Coordinate with employees and facilities representatives to address issues, maintenance requests, and repairs.
  • Serve as the primary contact with onsite third-party property management for facilities-related requests.
  • Process and follow up on invoices, maintaining records and resolving accounts payable/receivable issues.
  • Organize meetings, conference calls, and schedules.
  • Provide backup support for other Facilities coordinators and receptionists.
  • Manage incoming correspondence and maintain telephone system requests.
  • Assist in planning safety programs like fire drills and floor warden initiatives.
  • Exercise good judgment with sensitive information.
  • Help plan and set up internal and external employee events.
  • Participate in personnel moves and office relocations.
  • Review insurance certificates for compliance.
  • Assist new employees with credentials, office setup, and supplies.
  • Lift and move light objects up to 30 lbs., and work while walking, sitting, or standing.
  • Work overtime and weekends as needed for projects.
  • Travel between locations if required.
  • Occasionally work in construction environments involving dust and noise.
Bring your VIBE:
  • High School diploma or equivalent required; college degree preferred.
  • Experience in property or facilities management is a plus.
  • Valid driver’s license and auto insurance required.
  • Ability to travel spontaneously and independently.
  • Knowledge of office services, space management, and real estate operations.
  • Excellent follow-through, problem-solving, and communication skills.
  • Proficient in Microsoft Office; AutoCAD experience is a plus.
  • Team player with strong customer service skills.
  • Minimum two years in a facilities, property management, or related role.
