About the Team
Creative Services is responsible for the creation of music videos, still photo shoots, and graphic artwork for all Warner Records releases.
Your Role
In this role, you will work closely with the Creative Services department’s music video division, handling administrative due diligence, invoices, budgets, expenses, travel, and more. You will be the primary contact for outside vendors and ensure timely payment.
Key Responsibilities
- Provide overall support to the Creative Services department, including general office duties like ordering supplies, managing mail, and scheduling meetings/calls.
- Generate and route contract agreements (Music Video) and manage high volume of vendor set‑ups in the system for payment (ACH/Wire).
- Assist the Art Department in setting up photo shoots.
- Complete and submit SAG‑AFTRA reports for applicable budget tier projects.
- Book artist travel, including sending direct‑bill hotel letters and following up for folios (as needed).
- Monitor the clearance process, proactively flagging issues, and ensure compliance with all DSPs.
- Collaborate with broadcast representatives and marketing to facilitate the creation of clean videos for television.
- Manage the submission and coding of the commissioner’s expense reports within Concur.
- Safeguard access to Preamp (internal audio delivery system) and share audio files with authorized personnel.
- Serve as the department’s technical liaison for troubleshooting and efficiency, and oversee ingestion projects for art and video.
Qualifications
- Ability to assess processes and provide assistance and support where needed.
- Seek assets and elements for editorial projects (in‑house & outsourced).
- Work alongside teammates to manage the administrative side of production for all projects.
- Solid understanding of the SAP system.
- Handle confidential matters appropriately and with discretion.
- Excellent verbal, written, and interpersonal communication skills.
- Prioritize multiple projects and remain detail‑oriented.
- Identify problems and propose solutions.
- Collaborate professionally with all levels of the organization, clients, and vendors.
- Highly organized, resourceful, and have strong attention to detail.
- Comfortable with spreadsheets, financials, and math.
Preferred Experience
- 1–2 years of experience in a similar role or equivalent experience.
- Drive to learn and grow within the music industry.
Compensation
Hourly Rate: $20.00 - $24.00 per hour
Other
This position requires a minimum of 4 days per week in the office.
