Job summary

Indiana University Health is seeking an Administrative Coordinator for the Cardiovascular & Cardiothoracic Surgery division. The role involves managing schedules, processing invoices, and providing administrative support to senior leaders. The ideal candidate will have strong analytical skills and at least 3-5 years of administrative experience in a healthcare setting. This full-time position expects to work Monday through Friday, from 8 AM to 4:30 PM.

Overview

Administrative Coordinator – Cardiovascular & Cardiothoracic Surgery

Schedule: Monday to Friday, 8:00 AM – 4:30 PM

Position Summary:

This role provides high-level administrative and technical support to the Division Chief of Cardiovascular & Cardiothoracic Surgery and other senior leaders. The ideal candidate is proactive, detail-oriented, and experienced in managing complex schedules and workflows in a dynamic, matrixed healthcare environment.

Key Responsibilities:

  • Manage executive calendars, coordinate meetings and events, and prepare detailed travel arrangements.
  • Process invoices and expense reports with accuracy and timeliness.
  • Handle inquiries and communications across multiple teams with professionalism.
  • Maintain accurate office records, reports, and resource data; provide basic budget oversight.
  • Anticipate and resolve administrative and technical issues with minimal supervision.
  • Exercise sound judgment and discretion in handling sensitive information and decision-making.


Qualifications:

  • Bachelor’s degree or equivalent experience required.
  • 3–5+ years of relevant administrative experience.
  • Experience in a matrixed organization and complex work environment preferred.
  • Intermediate proficiency in Microsoft Office Suite (Word, PowerPoint, Excel).
  • Strong analytical skills with the ability to interpret and act on complex data.
