Responsibilities

  • Coordinate the preparation of schedules, briefing materials, and progress updates for Executive Board activities.
  • Maintain and organize Secretariat records, correspondence, and institutional documentation.
  • Act as the Scheduling Officer for the Secretary of the Executive Board, managing calendars and meeting coordination.
  • Prepare session binders and materials for Executive Board sessions, Bureau meetings, and informal briefings.
  • Support the preparation, review, and reporting of documentation for Executive Board meetings.
  • Draft high-quality briefing notes, meeting records, and correspondence.
  • Coordinate document submission processes and update the matrix tracking Executive Board decisions.
  • Provide coordination and logistical support for Executive Board meetings, governance processes, and special events, including field missions.
  • Manage and develop content for the Executive Board's social media accounts and website.
  • Provide substantive, logistical, and administrative support to the Advisory Committee on Oversight (ACO).

Job description

Organizational context: UN Women is dedicated to gender equality and the empowerment of women globally. The Executive Board Secretariat, within the Executive Director's Office, serves as the crucial link between UN Women and its 41-member Executive Board. This role supports the President and Vice Presidents in managing official and informal sessions, including briefings and field visits, ensuring effective intergovernmental and political engagement.

Job purpose: The Coordination and Communication Analyst will support the Executive Board Secretariat's work plan by preparing essential documentation such as briefing notes and meeting records. This role is pivotal in coordinating the preparation of Executive Board documentation, managing communications and outreach activities including social media and website content, and serving as the scheduling officer for the Secretary. The position also involves supporting inter-agency coordination, tracking decision implementation, and providing comprehensive administrative, substantive, and logistical support for Board sessions and related events.
