Qualifications

  • Associate's or Bachelor's degree in Business Administration, Legal Studies, Paralegal Studies, Construction Management, or related field.
  • Minimum 3+ years of experience in contract coordination, contract administration, legal support, project coordination, or construction administration.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Strong written and verbal communication skills.
  • Ability to handle confidential information with sound judgment.

Responsibilities

Position Summary

The Contracts Coordinator provides administrative and operational support for the contract management process, ensuring contracts, proposals, and compliance documentation are organized, accurate, and maintained throughout the project lifecycle. This role supports telecommunications infrastructure and construction projects by coordinating contract documentation, tracking key deadlines, maintaining contract records, and assisting with government contract compliance requirements. Support spans Cannon's family of companies-Cannon Construction, LLC; Cannon Constructors, LLC; and Cannon Government Solutions-as well as the Bear CGS joint venture, each with its own contracts, registrations, and compliance requirements.

The ideal candidate is highly organized, detail-oriented, and experienced in contract administration, project coordination, legal support, or construction administration.

Essential Responsibilities
  • Coordinate the preparation, routing, execution, and filing of contracts, amendments, change orders, and related documentation.
  • Maintain contract management systems and electronic contract files, ensuring records are accurate, complete, and up to date.
  • Track contract and licensing renewals, milestones, multi-state contractor licenses, surety bonds (bid and performance), insurance certificates, renewal dates, notices, and other key deadlines.
  • Assist with Requests for Proposals (RFPs), Requests for Qualifications (RFQs), bid submissions, and proposal documentation.
  • Support telecommunications construction and infrastructure projects by organizing contract‑related project documentation.
  • Collect, review, and maintain compliance documentation from subcontractors, vendors, and project partners.
  • Maintain and renew company certifications and registrations, including MBE/DBE/MWBE and SDVOSB certifications, and complete customer diversity‑program renewals.
  • Register and maintain Cannon as a qualified supplier in customer and third‑party prequalification systems (e.g., ISNetworld, Avetta, SAM.gov, and customer procurement/supplier portals).
  • Assist with administration of government contracts, public works projects, and grant‑funded programs, including federal registrations (e.g., SAM.gov) and small‑business / SDVOSB program compliance.
  • Coordinate contract approvals and signatures with internal stakeholders and external partners.
  • Prepare reports, correspondence, and contract status updates for management.
  • Respond to internal and external requests for contract information and documentation.
  • Support audits and compliance reviews by gathering and organizing required records.
  • Collaborate with Operations, Construction, Finance, Procurement, Human Resources, and Project Management teams to support project execution and contractual compliance.
Required Qualifications
  • Associate's degree or Bachelor's degree in Business Administration, Legal Studies, Paralegal Studies, Construction Management, or a related field; equivalent experience may be considered.
  • Minimum 3+ years of experience in contract coordination, contract administration, legal support, project coordination, construction administration, or a related role.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and meet deadlines in a fast‑paced environment.
  • Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook
  • Strong written and verbal communication skills.
  • Ability to maintain confidential information and exercise sound judgment.
Preferred Qualifications
  • Experience supporting telecommunications, construction, engineering, utility, or infrastructure projects.
  • Experience with contract management systems and document control processes.
  • Familiarity with government contracting, public works projects, prevailing wage requirements, or certified payroll documentation.
  • Paralegal, legal assistant, or contract administration experience.
  • Knowledge of RFP, RFQ, and proposal processes.

Compensation & Benefits

Pay Rate:$35-42 per hour, depending on qualifications and experience.
