Qualifications

  • Experience with procurement processes, bid reviews, and contract documentation is preferred.

Responsibilities

  • Perform procurement activities in support of open, fair, and competitive processes in accordance with laws, rules, and policies.
  • Respond to requests and inquiries in a timely and professional manner to support a customer service–oriented approach.
  • Coordinate with Grants, Contracts, Procurement and Fiscal Operations Units to complete procurement tasks and review purchase requests for completeness.
  • Assist purchasers with drafting and refining scope descriptions using templates and standard language.
  • Use evaluation criteria and tools to assist with reviewing bids, quotes, and proposals.
  • Assist with compiling, formatting, and routing responses to vendor questions based on guidance.
  • Support logistical coordination of proposal and bid evaluation activities, including scheduling meetings and tracking materials.
  • Compile bid/quote/proposal information and assist with analysis and procurement documentation under supervision.
  • Provide day-to-day support to procurement staff; no formal supervisory responsibilities.
  • Track procurements and deadlines and escalate issues to support timely processing.
  • Assist with routing procurement documents for review by OCA Counsel and tracking responses.
  • Assist with preparation and submission of procurement materials to oversight agency review and approval.

Job description

The New York State Unified Court System Office of Court Administration - Division of Grants, Contracts, and Procurement is recruiting for (1) position in the Analyst Series. The position will be filled in one of the following titles and will be dependent upon the qualifications and experience of the applicant selected: Principal Court Analyst or Senior Court Analyst.

The Division of Grants, Contracts and Procurement is organized into four distinct but interdependent teams: Grants, Contracts, Procurement and Fiscal Operations. This position will work with the Contracts and Procurement Units, responsible for procuring and contracting goods and services to support court operations and administration. Under the supervision of Senior Management Analysts, the position will support procurement and contracting functions.

Key Responsibilities:
  • Performing assigned procurement activities in support of open, fair, and competitive processes in accordance with applicable laws, rules, and policies.
  • Supporting a customer service–oriented approach by responding to requests and inquiries in a timely and professional manner.
  • Coordinating with the Grants, Contracts, Procurement and Fiscal Operations Units as needed to complete assigned procurement tasks. Reviewing purchase requests for completeness and assisting in identifying appropriate procurement methods.
