Description

As a Contracts Administrator, you'll play a crucial role in ensuring smooth and efficient contract management operations. In this position, you'll be the backbone of the team, handling vital tasks such as onboarding subcontractors, drafting and revising subcontracts, work orders, leases, and NDAs. You'll also review insurance certificates and organize records and databases to ensure seamless operations.

Essential Responsibilities
  • Administer subcontractor onboarding processes and coordinate with internal stakeholders.
  • Maintain subcontract databases, upload executed documents, and tag data points.
  • Draft and prepare templated subcontracts, work orders, and amendments for approvals and execution.
  • Review subcontractor onboarding documents for completeness and compliance.
  • Upload and log executed client contracts as provided by Operations Teams.
  • Generate quarterly reports of contracts nearing expiration and distribute to relevant teams.
  • Draft templated NDAs and coordinate electronic signatures.
  • Draft templated commercial leases and coordinate electronic signatures.
  • Review quarterly subcontractor payment reports for compliance and notify project teams of deficiencies.
Qualifications
  • Minimum two years of administrative support experience working with contracts and/or insurance certificates, preferably in construction, architecture, engineering, or commercial development.
  • Experience in electronic record management.
  • Ability to handle records confidentially.
  • Strong communication skills, both verbal and written.
  • Excellent organizational skills with the ability to manage multiple priorities.
  • Proficiency in Microsoft Word; familiarity with other Microsoft programs, Salesforce, and Adobe is an asset.
