Overview

The Contracts Administrator provides independent and collaborative administration of contracts and agreements for KETTLER. This role requires experience working with vendors to process contracts and procurement tasks within the Construction industry. Responsibilities include securing all required contract documentation during vendor onboarding. The Contracts Administrator supports Accounting and Legal departments in establishing and completing contracts, exercising discretion and independent judgment. The role is closely integrated with procurement procedures and supports bidding and tendering processes. This position is based at our Corporate Office in McLean, VA, with on-site attendance required Monday through Thursday, and remote work on Friday.

Responsibilities
  • Support the Vendor Approval Process, including receiving and processing applications.
  • Organize and maintain the Approved Vendor List.
  • Ensure ongoing vendor relationships comply with company policies and requirements.
  • Collaborate with the accounting department to maintain required vendor documentation.
  • Support contract negotiations; review and analyze proposed contract terms; seek appropriate internal approval; assist in resolving contract conflicts.
  • Participate in contract and consulting agreement processes with potential vendors, ensuring appropriateness for ongoing relationships.
  • Work with team members on contract details.
  • Track contracts through the signature cycle to completion.
  • Maintain and improve the contract management system to track contract status, insurance expiration, etc., and generate reports for management.
  • Assist with the Request for Proposal (RFP) process, including facilitating invitations to bid, vendor communication, proposal organization, bid selection, and contract award/non-award processes.
  • Demonstrate high organizational and interpersonal skills.
  • Assist with special projects as needed.
  • Perform contract and project closing activities.
Qualifications
  • At least two (2) years of experience in a business support function is preferred.
  • Proficient in Microsoft Office Suite (Word, PowerPoint, Outlook, Excel).
  • Excellent analytical and time-management skills.
  • Strict adherence to company policies, compliance laws, and legal requirements.
  • Good interpersonal and communication skills across all management levels.
  • Strong verbal and written communication skills.
  • Self-motivated with the ability to multitask, prioritize, and manage time effectively.
