The Role

We are seeking an Administrative Assistant to support our firm’s growth. This role offers the opportunity to work with driven individuals passionate about technology. The ideal candidate is a team player with exceptional communication skills, meticulous attention to detail, and creative problem-solving abilities. The role supports multiple investment partners and requires managing various responsibilities while prioritizing effectively.

Daily tasks include scheduling travel, coordinating meetings, managing expenses, and assisting with event planning. Experience working with cross-functional teams in fast-paced environments and handling sensitive information with good judgment, diplomacy, and discretion are essential.

This is a 6-month contract based in Menlo Park, CA or San Francisco, CA, with travel between both offices.

  • Manage multiple priorities, including recurring meetings, with good judgment.
  • Proactively communicate and respond to urgent inquiries.
  • Assist in organizing team events and off-sites.
  • Coordinate travel arrangements and manage related expenses.
  • Track and submit expense reports accurately.
  • Maintain and audit Salesforce records for data accuracy.
  • Coordinate team lunch and snack orders, accommodating dietary restrictions.
Minimum Qualifications
  • 3+ years supporting multiple managers or large teams.
  • Strong team player with excellent collaboration skills.
  • Proactive, positive, personable, with excellent communication and a “can do” attitude.
  • Resilient, capable of managing multiple projects and meeting deadlines.
  • Discreet with high integrity when handling sensitive information.
  • Experience in event planning, travel coordination, expense management, and office administration.
  • Proficiency with Gmail, Google Calendar, Salesforce, Word, Excel, PowerPoint, and Zoom.
  • Comfortable working remotely or in-office, with in-office presence of 3-4 days per week.

The estimated hourly rate is $50.00-$55.00, with actual pay varying based on experience and skills.
