  • Maintain and prepare reports, records, inventories, mailing lists, and databases.
  • Code Accounts Payable transactions, create POs in SAP Business One, and upload AP invoices to SharePoint.
  • Assist with scheduling service calls and supporting sales and customer qualification processes.

BOXX Modular rents, leases, repairs, renovates and sells temporary and permanent modular buildings, including standard buildings ready for immediate delivery and custom-designed solutions. We are hiring for a full-time Contracts Administrator in Houston, TX. This role is 100% in office.

Reporting to the Branch Manager, the Contract Administrator will be responsible for providing support and insight on monthly and quarterly financial results, contract review and billables within the Modular Space Solutions (MSS) Division. This role is detailed and process oriented and requires someone who has a very strong base in accounting and contract administration.

Duties And Responsibilities
  • Provide daily reception coverage and ensure a professional and welcoming experience for customers, vendors, and visitors.
  • Respond to telephone, in-person, and electronic inquiries, providing general information or directing inquiries to the appropriate person.
  • Maintain and prepare reports, records, inventories, mailing lists, and databases.
  • Order office supplies, coordinate office equipment servicing, and arrange repairs as required.
  • Process incoming and outgoing mail and electronic correspondence.
  • Sort, process, and verify applications, receipts, expenditures, forms, and other documentation.
  • Code Accounts Payable transactions, create POs in SAP Business One, and upload AP invoices to SharePoint.
  • Complete PPSA registrations and renewals and follow up on insurance requirements.
  • Support Accounts Receivable activities, including responding to invoicing inquiries, preparing customer statements, and assisting with collections.
  • Prepare Purchase Orders, Bills of Lading (BOLs), sales documents, and proposals.
  • Assist with scheduling service calls for maintenance and repairs.
  • Support the sales team by researching potential leads and assisting with customer and sales-related activities.
  • Assist with customer qualification and account setup, working with the Treasury team on credit requirements.
  • Understand customer needs and recommend appropriate products and solutions, including alternatives based on cost, availability, or specifications.
  • Proactively identify additional customer needs to enhance customer satisfaction and transaction profitability.
  • Educate customers on product terminology, features, and benefits to support informed purchasing decisions.
  • Monitor customer feedback and identify trends in satisfaction or dissatisfaction, sharing insights with the team.
  • Communicate significant changes in product demand to the Branch Manager.
  • Maintain proficiency with computers, data-entry systems, office equipment, and applicable software.
  • Follow company policies, procedures, and established processes.
  • Maintain a professional image and positive working relationships with customers, vendors, and colleagues.
  • Perform other duties and responsibilities as required.
Qualifications And Skills
  • 2-5 years of experience in contract administration, office administration, sales support, or customer service, preferably in a construction, modular, or related industry.
  • Strong organizational skills with excellent attention to detail and accuracy.
  • Experience working with contracts, purchase orders, invoices, and customer documentation.
  • Strong customer service and communication skills, both verbal and written.
  • Proficient in Microsoft Office, particularly Excel, Word, and Outlook.
  • Experience with SAP Business One and SharePoint is an asset.
  • Ability to prioritize multiple tasks, meet deadlines, and work independently.
  • Strong problem-solving skills with a proactive, professional, and team-oriented approach.
  • Ability to support sales, customers, vendors, and branch operations effectively.
  • Business Administration or related education is an asset; equivalent experience will be considered.
  • Ability to pass pre-employment criminal records check;
