Job Overview:
We are seeking a professional and organized Administrative Assistant to join a dynamic wealth management team in Boston. As the first point of contact for clients and callers, this individual will play a key role in delivering a welcoming and polished experience while supporting financial advisors with a variety of administrative tasks. Key Responsibilities:
Greet and welcome clients and visitors with professionalism and warmth
Answer, screen, and route incoming phone calls and messages promptly
Manage calendars, contact lists, and client appointment scheduling
Maintain client records through filing, data entry, and document archiving (physical and digital)
Coordinate meeting logistics and maintain organized reception and conference areas
Order and track office supplies and ensure equipment is in working order
Handle incoming and outgoing mail and deliveries
Support travel arrangements and accommodations for advisors and leadership
Assist with ad hoc projects and administrative tasks as needed
Maintain confidentiality and uphold discretion with sensitive information
Qualifications:
Excellent verbal and written communication skills
Strong organizational skills with the ability to manage multiple tasks efficiently
Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
Friendly and professional demeanor with a client-first attitude
Ability to work both independently and within a team in a fast-paced setting
Preferred Qualifications:
Previous administrative experience, particularly in financial services or a financial advisor’s office
Associate or Bachelor’s degree in Business, Finance, Accounting, or related field
