Job summary

Hyve is seeking a Content and Programming Coordinator to support POSSIBLE’s speaker journey. You will coordinate onboarding, communications, assets, schedules, travel and event materials to deliver a seamless speaker experience. The role does not include content development or speaker selection.

Ideal candidates have 2–3 years of experience, strong written communication, and superb organizational skills. Travel to events and occasional evenings/weekends are required.

Responsibilities

  • Coordinate speaker onboarding and collect required materials
  • Manage speaker communications, including deadlines and follow-ups
  • Add and organize speaker assets in SharePoint
  • Create and maintain agenda and speaker pages
  • Coordinate with registration to register speakers and support staff
  • Update Speaker Booklet and Guidebook with programming changes
  • Maintain the online Speaker Resources page
  • Collect and organize speaker presentations for review
  • Prepare speaker and session information for marketing use
  • Coordinate content preparation meetings for speakers and hosts
  • Manage onsite hair and makeup schedule and invites for speakers
  • Send invitations for rehearsal slots
  • Coordinate speaker travel (airfare, ground transport, hotel)
  • Provide onsite production support and verify setups
  • Assist with general logistics to enhance speaker experience

Key Responsibilities

We are looking for a highly organized, detail-oriented coordinator to support the administrative and logistical aspects of the speaker journey. This execution-focused role coordinates speaker onboarding, communications, assets, schedules, travel and event materials to help deliver a seamless experience. The position does not include content development or speaker selection.

In this role, you will:
  • Coordinate speaker onboarding and collect required materials, including headshots, bios, company logos and session descriptions
  • Manage speaker communications, including deadlines, reminders and follow-ups.
  • Add and organize speaker assets in SharePoint
  • Create and maintain agenda and speaker pages
  • Create and manage Speaker consent forms for event and podcast (via Adobe)
  • Coordinate with the registration to register speakers and their support staff
  • Work with the programming team to update the Speaker Booklet and Guidebook
  • Maintain the online Speaker Resources page
  • Collect and organize speaker presentations for internal review and production
  • Compile and verify speaker and session information for use in marketing and communications
  • Coordinate content preparation meetings and onboarding calls for speakers and stage hosts
  • Manage the onsite hair and makeup schedule and send appointment invites to speakers
  • Send out invitations to speaker and their teams confirming technical rehearsal slots
  • Coordinate speaker travel as needed, including airfare, ground transportation and hotel accommodations
  • Provide onsite production support by verifying room and stage setup, confirming the correct presentations are loaded, and ensuring speakers and stage hosts are present and prepared.
  • Pitching in as needed to help create a fantastic experience for speakers, sponsors and attendees, including support for general logistics activities
Skill & Experience:
  • Minimum 2-3 years of relevant professional experience
  • Excellent written communication skills, with the ability to correspond professionally with senior-level executives and their teams
  • Strong organizational skills and attention to detail
  • Experience creating and managing spreadsheets and doing data merges
  • Ability to solve problems quickly and exercise sound judgment while managing detailed logistical tasks
  • Strong commitment to quality, accuracy and the speaker experience
  • Self-motivated and able to manage multiple priorities in a fast-paced, deadline-driven environment
  • Interest in marketing, adtech, martech and the creator economy
  • Ability and willingness to travel to the event
  • Availability to work occasional evenings and weekends, particularly in the lead-up to and during the event
COMPENSATION & BENEFITS:
  • Up to $60,000-$65,000 based on experience
  • This position will be eligible for a competitive bonus
