Description
We are seeking a detail-oriented and proactive Project Coordinator to join our team. This role will focus heavily on budget management and customer invoicing, ensuring that projects are financially sound and clients are billed accurately and timely.
Key Responsibilities:
- Budget Management:
- Input and maintain project budgets, ensuring all expenses are tracked and recorded.
- Monitor and report on budget variances, providing insights and recommendations for corrective actions.
- Collaborate with project managers to forecast financial needs and allocate resources effectively.
- Customer Invoicing:
- Prepare and issue invoices to customers based on project milestones and deliverables.
- Ensure all invoices are accurate and reflect the agreed-upon terms and conditions.
- Follow up on outstanding invoices and manage accounts receivable.
- Project Coordination:
- Assist in the planning and execution of project activities, ensuring timelines and deliverables are met.
- Coordinate with various departments to gather necessary information for budgeting and invoicing.
- Maintain comprehensive project documentation, including financial records and client communications.
- Reporting:
- Generate regular financial reports for stakeholders, highlighting budget status and invoicing progress.
- Provide detailed analysis of project costs and revenues, identifying areas for improvement.
- Compliance:
- Ensure all financial activities comply with company policies and relevant regulations.
- Conduct audits to verify the accuracy of financial records and invoices.
Skills and Qualifications:
- Financial Acumen: Strong understanding of budgeting, financial forecasting, and invoicing processes.
- Attention to Detail: Ability to ensure accuracy in financial records and invoices.
- Communication Skills: Excellent verbal and written communication skills for interacting with clients and team members.
- Organizational Skills: Ability to manage multiple tasks and projects simultaneously.
- Problem-Solving: Proactive approach to identifying and resolving budget and invoicing issues.
- Software Proficiency: Familiarity with project management and financial software tools.
Requirements
- A. A., or Bachelor’s Degree in Accounting, Finance, Construction Management, or related field
- Prior experience in invoicing clients, financial analysis and utilizing an ERP system. Experience in Viewpoint, ProContractor preferred.
- Background check and drug screen, per company policy
- Applicant must be legally authorized to work in the U.S.
