Job summary

Victor Energy, part of the Java Group, seeks a Project Coordinator to support our project execution team. This full-time, office-based role requires regular travel to construction sites (roughly 25% to 50%) and collaboration with the Project Manager and field crews to keep projects moving.

Responsibilities include coordinating with internal teams and clients, tracking progress and costs, collecting labor and equipment hours, and assisting with invoices and subcontractor management.

Qualifications

• 2 to 4 years of experience in a similar project coordination or construction role.
• Utility construction experience is a strong asset.
• Proficient in Microsoft Office, including Excel and Outlook.
• Working knowledge of project management and scheduling software (e.g., Microsoft Project).
• Ability to understand construction contracts, project documentation and commercial terms.

Responsibilities

• Support the Project Manager with day to day project coordination and administration.
• Track project progress, production quantities and completed units of work.
• Collect and track labor hours, equipment hours and equipment utilization.
• Assist with weekly project cost tracking and reporting.
• Assist with preparation and submission of client invoices and supporting documentation.
• Help crews complete and submit labor and equipment timesheets.
• Coordinate material, tooling, equipment and other project requirements for construction crews.
• Obtain supplier and subcontractor quotes and issue purchase orders as directed.
• Assist with subcontractor agreements and track subcontractor schedules, progress and costs.
• Maintain project documentation, schedules, reports and other project records.
• Support the estimating team with bids, pricing and subcontractor quotes.
• Act as a liaison between the construction crews, Project Manager and back office to keep information and work moving.
