Overview
The Construction Project Coordinator is responsible for supporting the successful execution of construction projects by coordinating administrative and logistical aspects of designated projects. This role ensures project goals are achieved within time, scope, and budget constraints. The Coordinator works closely with project managers, field teams, contractors, and vendors to facilitate communication, manage documentation, track progress, and support compliance with schedules and funding parameters. Responsibilities include developing and maintaining project schedules, organizing meetings, preparing reports, and managing essential documentation such as permits, contracts, change orders, and RFIs. By overseeing administrative functions and serving as a communication hub, the Coordinator ensures project milestones are met and issues are addressed promptly to prevent delays or budget overruns. The ideal candidate is detail-oriented, highly organized, and possesses strong communication and problem-solving skills to support efficient project delivery and strategic construction goals.
Duties and Responsibilities

- Assist in coordinating and tracking multiple retail store construction projects across various locations.
- Estimate and reconcile project costs, manage the cost database, prepare budgets, advise on project scopes, and negotiate contracts.
- Verify and approve invoices and payment applications.
- Obtain and maintain Partial and Final Release of Lien documents and related notices.
- Review shop drawings, cut sheets, and submittals to verify products, methods, and specifications.
- Communicate project status, including budget, costs, and schedules.
- Assist in developing and evaluating project schedules, documenting delays, and timing issues.
- Review construction plans to estimate materials, labor, and equipment needs.
- Manage construction documents by receiving, filing, tracking, and distributing them.
- Participate in cost-saving initiatives and alternative construction methods.
- Prepare and distribute bid proposals, plans, specifications, and proposal forms to qualified bidders and suppliers.
- Manage construction projects by maintaining contacts, approving contractor and vendor applications, and posting project communications such as RFIs, schedules, shop drawings, photos, permits, and correspondence.
Qualifications and Requirements
- Bachelor’s degree in Business, Economics, Construction Management, or related field, or equivalent experience.
- At least 5 years of Project Coordination experience in construction or restoration.
- Extensive knowledge of commercial construction methods and materials, including trade divisions.
- Working knowledge of architectural barrier codes, International Building & Energy Codes, and OSHA standards.
- Ability to apply abstract principles to complex tasks.
- Strong communication skills to understand and convey complex issues.
- Proficiency in preparing reports and analyzing documents like construction plans, contracts, and safety manuals.
- Effective communication with executives, managers, vendors, and partners.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to prioritize and manage multiple tasks.
- Experience researching industry and market trends.
- Proficiency in Microsoft Word, PowerPoint, and Excel.
- Capable of working independently and producing quality work.
- Based in Tyler, TX at the Home Office.
- Willingness to travel up to 10% for site visits and out-of-town locations, with occasional overnight stays.
Skills
- Knowledge of the retail industry.
- Certification such as CSPM or PMP preferred.
- Experience with scheduling software, website management, Adobe Professional, AutoCAD, and REVIT.
- Experience in real estate site selection for top brands.
- Ability to handle confidential information discreetly.
- Attention to detail and strong organizational skills.
- Excellent stakeholder relationship skills.
