The Construction Project Coordinator is responsible for supporting the successful execution of construction projects by coordinating the administrative and logistical aspects of designated projects. This role plays a critical part in ensuring that project goals and objectives are achieved within established time frames, scope, and budgetary constraints. The Project Coordinator works closely with project managers, field teams, contractors, and vendors to facilitate communication, manage documentation, track project progress, and support compliance with schedules and funding parameters. In this role, the Construction Project Coordinator will assist with developing and maintaining project schedules, organizing meetings, preparing reports, and managing essential project documentation such as permits, contracts, change orders, and RFIs. By overseeing day-to-day administrative functions and serving as a communication hub, the coordinator ensures that project milestones are met and that any issues are promptly addressed to avoid delays or budget overruns. The ideal candidate is detail-oriented, highly organized, and possesses strong communication and problem-solving skills to support efficient project delivery and alignment with strategic construction goals.
Duties and Responsibilities
- Support the “Cavender’s Culture” and drive our Mission, Vision, and Values
- Assist with the coordination and tracking of multiple retail store construction projects across various locations
- Estimate and reconcile project costs, manage cost database, prepare budgets, advise on project scopes, and negotiate contracts
- Verify and approve invoices and payment application forms for payment processing
- Obtain and maintain Partial and Final Release of Lien documents and related Lien filing notices
- Review shop drawings, cut sheets, and submittals to verify products, construction methods, and specifications
- Communicate construction budget, cost, schedule, and project status
- Help develop and evaluate project schedules, document delays, and timing issues
- Review construction plans at various stages to estimate materials, labor, and equipment needs
- Receive, file, track and distribute all construction documents
- Participate in alternatives for cost savings and construction methods
- Prepare bid proposal documents and distribute plans, specifications, and proposal forms to qualified bidders and suppliers
- Manage construction projects which include maintaining contacts, approving applications of potential contractors and vendors, and posting project management information and communications such as RFI’s, schedules, shop drawings, photos, permits, correspondence, etc.
Qualifications and Requirements
- Bachelor’s degree in Business, Economics, Construction Management, or related field, or equivalent experience
- 5+ years of Project Coordination experience in construction or restoration
- High level of experience with commercial construction methods and materials, including knowledge and understanding of division of work among the various trades
- Working knowledge of architectural barrier codes, International Building & Energy Codes, and OSHA standards
- Ability to apply abstract principles to a wide range of complex tasks
- Ability to comprehend complex issues and communicate
- Ability to prepare reports and review, analyze, and interpret documents such as construction plans, accounting reports, contracts, safety rules, procedure manuals, governmental regulations, and instructions furnished in written, oral, or diagram form
- Ability to communicate effectively with company executives, managers, vendors, sub-contractors, and partners
- Strong organizational skills and attention to detail
- Excellent written and verbal communications skills
- Ability to prioritize and manage multiple tasks simultaneously
- Experience researching and determining industry and marketing trends
- Microsoft Word, PowerPoint & Excel skills and proficiency
- Must be hands-on and capable of independently producing work
- Based in Tyler, TX at the Home Office
- Travel up to 10% to off-site and out-of-town locations, with occasional overnight stay
Preferred Skills
- Detailed knowledge of the retail industry
- CSPM or PMP Certification
- Working knowledge of construction industry specific scheduling software, website management, Adobe Professional, AutoCAD, and REVIT
- Experience with Real Estate site selection for top brands
- Ability to handle confidential or proprietary information with discretion
- Detail oriented with strong organizational skills
- Excellent relationship building skills among a wide range of stakeholders
