Job description

WH Bass, Inc. is currently seeking a talented professional for our Operations Coordinator role. This role supports our field and project management teams by providing assistance with safety, field team coordination, and report management.

The selected candidate will be responsible for duties in these areas:

  1. Operations Reporting & Support:
    • Maintain project-related reports (job status, superintendent & carpenter assignments, AR summaries, etc.)
    • Manage scorecards
    • Track monthly KPIs
    • Support software administration and user management
    • Create and update team member playbooks
  2. Warranty Coordination:
    • Serve as the main contact for warranty items, verifying and ensuring timely completion
    • Assist project managers in coordinating with subcontractors and researching trades outside warranty scope
    • Help monitor 30-day and 11-month follow-up lists and ensure completion
    • Assist with invoicing for service work
  3. Safety & Field Team Coordination:
    • Verify quarterly safety certifications and compliance with OSHA and other regulations
    • Utilize Click Safety and Owyn for ongoing training (OSHA 10/30, First Aid, CPR, etc.)
    • Collect and file OSHA/incident reports
    • Manage PPE inventory and coordination

Qualifications and Education:

  • 7-10 years of administrative assistance experience
  • Knowledge of the construction industry
  • Proficiency in Microsoft Office
  • Strong communication skills
  • Excellent multitasking and organizational skills
  • Ability to work under pressure independently
  • Problem-solving skills
