Our client, a family-owned, locally operated, multi-faceted real estate development, brokerage, construction, and property management firm is seeking to hire a Construction Project Coordinator. This is a full-time position that will work 8:00am-4:30pm Monday - Friday in Hales Corners, WI office. We are seeking a candidate who has prior experience administratively supporting a Construction Project Management team and is adept at creating RFPs, construction bids, and using MS Excel to organize bid comparisons & proposals, and working with vendors. This role could also include going out into the field to review subcontractors progress during the construction process. This position offers a generous salary $55K-$75K+ based on relevant experience, full benefits, company paid 401-K, and PTO.
Position Overview
The Construction Project Coordinator will be responsible for administratively supporting a team of Construction Project Managers. In this role you will help create and organize RFPs, bids, and proposals for construction projects using MS Excel as well as other key duties listed below.
Key Responsibilities:
- Managing Documentation: Organize contracts, permits, change orders, RFIs (requests for information), and progress reports.
- Tracking Schedules: Maintain project calendars, monitor milestones, and ensure tasks match the overall timeline.
- Coordinating Communication: Act as a central link between project managers, field teams, vendors, and subcontractors.
- Supporting Procurement: Obtain price quotes, process purchase orders, and track material or equipment deliveries.
- Handling Billing and Admin: Process invoices, review line-item budgets, and prepare routine status reports.
- Create & Organize: RFPs, bids, and proposals for construction projects using MS Excel.
Other Duties:
- Complete Authorization to Proceed forms and obtain the necessary approvals.
- Provide updates for the Program of Work monthly.
- Management of contractors and vendors to complete project work.
- Prepare schedules of all Subcontractor's work as well as time durations for review and approval.
- Meet as necessary with Subcontractors to discuss quality or time issues individually as directed by the Director of Facilities Management.
- Manage project documents internally and through SharePoint for external access if necessary.
- Attend or conduct site visit walkthroughs with clients and subcontractors.
- Review Project Costs - Approve monthly subcontractor partial and final payments.
- Participate in and lead job start up and close out meetings.
- Participate in and lead improvement efforts.
- Coordinate equipment rentals as requested.
- Coordinate return goods back to vendors.
Qualifications:
- 2+ years of experience supporting a Construction Project Management team – creating and organizing RFPs, bids, and proposals for construction projects using MS Excel.
- Comfortable using multiple computer programs to communicate with stakeholders and update project progress using MS Office Suite, MS Excel, SharePoint, and Yardi.
- Experience with maintaining project calendars, monitoring milestones, and updating internal/external stakeholders.
- The ability to obtain price quotes, process purchase orders, and track material or equipment deliveries.
- Previous experience processing invoices, reviewing line-item budgets, and prepare routine status reports.
