Job summary

Ledgent is seeking a highly organized Project Billing & Accounts Receivable Specialist to oversee customer invoicing, monitor receivable accounts, and administer project-related billing activities on a construction- or project-based environment.

The role requires strong analytical abilities, attention to detail, and experience with certified payroll processing and prevailing wage reporting for public works projects.

Qualifications

• Minimum of 3 years of experience in accounts receivable, project billing, construction accounting, or a similar financial role.
• Experience with certified payroll processing and prevailing wage reporting requirements.
• Familiarity with public works contracts and project-based accounting practices.
• Experience utilizing accounting software such as ProContractor, or related financial systems.
• Excellent organizational skills with the ability to manage multiple deadlines simultaneously.

Responsibilities

• Manage invoicing and collections activities to ensure timely receipt of payments and maintain healthy cash flow.
• Prepare, review, and submit progress billings for commercial, municipal, and public works projects.
• Monitor project completion percentages and verify billing accuracy against contract requirements.
• Reconcile contract values, approved change orders, and previously invoiced amounts.
• Calculate retention balances and process closeout billings upon project completion.
• Prepare and maintain lien waiver documentation, including conditional and unconditional releases.
• Coordinate certified payroll reporting and prevailing wage compliance for applicable projects.
• Review employee labor classifications, wage determinations, and fringe benefit reporting for accuracy.
• Maintain organized project files and supporting documentation for audits, inspections, and client requests.
• Work closely with project managers and accounting staff to resolve billing discrepancies and payment issues.
• Ensure all financial records, payroll submissions, and project documentation meet contract and regulatory requirements.
• Assist with account reconciliation, reporting, and month-end accounting activities.
