Responsibilities

  • Prepare and track essential contract documents including subcontract agreements, purchase orders, and change orders.
  • Review and process vendor expenses, tax-exempt certificates, and certified payroll documents for active projects.
  • Maintain logs for submittals, RFIs, bulletins, addendums, and updated construction drawings.
  • Verify certificate of insurance validity and confirm full execution of all required project contracts.
  • Assemble comprehensive project close-out packages, including as-built drawings, owner manuals, and warranty letters.
  • Assist leadership with bid preparations, letters of intent, contract award letters, and preliminary meeting minutes.

Job Overview

The Opportunity

You will serve as a vital operational anchor, managing all critical administrative frameworks alongside our project management team. This role empowers you to keep complex commercial builds organized, compliant, and moving forward efficiently. You will play an active role in maintaining project file integrity while directly contributing to company success.

How You Will Make an Impact
  • Prepare and track essential contract documentation including subcontract agreements, purchase orders, and change orders.

Required Qualifications & Experience

  • High School Diploma or GED equivalent.
  • Demonstrated history working successfully within a fast-paced, high-volume office setting.
  • Proven proficiency with spreadsheets, MS Office products, digital communication tools, and internet research.
  • Superior written, verbal, and digital communication capabilities paired with exceptional organizational skills.
Preferred Qualifications & Experience
  • Advanced proficiency with industry-specific construction software, preferably Procore and Sage Intacct.
  • Background handling complex commercial and industrial subcontract documentation and compliance tracking.
  • Proven ability to multi-task, prioritize demanding workloads, and solve problems independently.
